The Midtown Group, multi-award-winning staffing and recruitment agency is seeking a Sr. Executive Assistant/Liaison Officer to provide administrative support to our executive team. The ideal candidate will be detail-oriented, possess excellent communication skills, and demonstrate the ability to manage multiple priorities in a fast-paced environment. This role requires discretion, professionalism, and a high level of initiative to ensure the efficiency and effectiveness of executive operations.
Key Responsibilities:
- Provide comprehensive administrative support to multiple executives, including calendar management, scheduling, and travel coordination.
- Manage and prioritize incoming emails, calls, and correspondence, responding or delegating as appropriate.
- Prepare and edit reports, presentations, and other documents for executive review.
- Coordinate and schedule meetings, ensuring agendas, materials, and logistics are prepared in advance.
- Act as a liaison between the executive team and internal/external stakeholders, maintaining professionalism and confidentiality.
- Assist with project coordination, tracking deadlines, and ensuring follow-ups are completed.
- Handle expense reporting, invoice processing, and budget tracking as needed.
- Support HR functions such as onboarding new team members and organizing team events.
- Conduct research and compile data to support executive decision-making.
- Perform other administrative and operational duties as assigned.
Qualifications & Skills:
- Bachelor's degree in Business Administration, Communications, or a related field preferred.
- 3 years of experience in an executive assistant or similar administrative role.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Zoom, Teams, Slack, etc.).
- Excellent organizational and time-management skills with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills.
- High level of discretion and confidentiality.
- Ability to work independently and take initiative while remaining a collaborative team player.
- Experience in a fast-paced corporate environment is a plus.
