Position Overview
The Philanthropic Advisor Associate, Tiers 1-3 will actively work with experienced Philanthropic Advisors to help 500 existing donors in directing grants to nonprofit organizations and making impactful contributions.
The ideal candidate is a proactive and customer-focused professional with strong communication and relationship-building skills. They excel at managing administrative tasks while ensuring seamless interactions with donors, stakeholders, and team members. Detail-oriented and highly organized, they demonstrate a self-starter mindset with a commitment to efficiency and exceptional service.
Principal Duties and Responsibilities:

Partner with Philanthropic Advisors to deliver high-quality donor experiences by:
- Supporting the Philanthropic Advisors in the development of engagement plans and activities for engaging a diverse portfolio of 500 donors to achieve philanthropic goals and community impact.
- Responding to routine donor inquiries and requests related to fund administration, grantmaking, and donor portal access.
- Facilitating reports, queries, and mailings related to meetings, events, and engagement opportunities. Generate mailing lists/mail merges for mass mailings.
- Anticipating donor needs and preparing for donor meetings, producing meeting minutes and follow up as requested
- Assisting with regular data review and cleanup to maintain overall data integrity
- Educating, informing, and communicating with donors about Minneapolis Foundation initiatives.
- Assisting with coordination and administrative activities for donor events, meetings, and special projects.
- Assisting in event organization and strategic initiatives.
- Managing administration and data entry related to fund records,
including maintaining fund files via electronic document management systems.
- Operating with continuous improvement mindset, identifying areas for increasing donor engagement, process/product standardization/streamlining and work with key individuals from all departments to ensure integration of all functions as necessary.
- Maintaining knowledge of advised grant administration best practices.
- Remaining aware of charitable options and trends in the field of philanthropy and the implications for the Minneapolis Foundation and its donors.

- Act as project support for Philanthropic Services Team.
- Document all external interactions in the enterprise database and analyze data to identify trends and opportunities to deepen engagement and drive community impact.
- Maintain up-to-date knowledge of TMF’s programs and priorities.

Essential
Qualifications for Success:
- Two to four years of relevant professional experience, preferably in donor relations, communications, or content roles.
- Strong customer service and organizational skills with the ability to responsibly handle sensitive and confidential information.
- Demonstrated ability to prioritize work and execute with accuracy to meet deadlines in a fast-paced environment and ability to adjust to changing and/or tight deadlines.
- Strong business technology skills, including the ability to operate business machines and adeptness with a number of computer software applications including MS Office products and Salesforce (CRM).
- Effective communication skills, both verbal and written, to convey information clearly and effectively.
- Practiced ability to develop and maintain positive interpersonal relationships.
- Work successfully with diverse individuals with a variety of work and communication styles, both internally and externally.

Working Conditions
Most of the work in this position is performed in a general office setting and the successful candidate must be able to work at a PC for extended periods of time. We are a hybrid organization typically working 2 days a week in the office.
