The role involves preparing financial statements, managing accounts payable and receivable, and ensuring compliance with legal billing practices.
Key Responsibilities
- Accounting & Financial Management:
- Utilize QuickBooks (Online/Desktop) to process daily transactions, including client billings, expense entries, and payroll processing.
- Reconcile bank accounts and credit card statements on a monthly basis.
- Maintain accurate and up-to-date records of the firm’s financial transactions.
- Invoicing & Legal Billing:
- Prepare and send client invoices, ensuring accuracy in billing for legal services, hourly rates, expenses, and disbursements.
- Monitor outstanding invoices and follow up on overdue payments in a professional manner.
- Assist in maintaining accurate records of billable hours, adjusting entries, and ensuring compliance with billing policies.
- Manage client trust accounts (IOLTA), ensuring funds are disbursed according to legal and firm policies.
- Accounts Payable & Receivable:
- Process accounts payable, ensuring timely and accurate payments to vendors and service providers.
- Track accounts receivable and resolve payment discrepancies in a prompt manner.
- Provide regular reports on aging accounts and overdue payments, working with management to resolve issues.
- Proven experience as a Bookkeeper, preferably in a law firm or professional services environment.
- Proficient in QuickBooks (Desktop and/or Online) and other accounting software.
- Solid understanding of legal billing practices and invoicing procedures.
- Experience with managing trust accounts (IOLTA) and understanding legal compliance requirements.
- Strong knowledge of accounts payable and receivable processes.
- Ability to handle multiple tasks with high attention to detail and accuracy.
- Excellent communication skills, both written and verbal.
- Strong organizational and time management abilities.
- Associate's degree in Accounting, Finance, or a related field (Bachelor's degree preferred).
- QuickBooks Certified User (preferred).
- Additional accounting certifications or experience in legal billing and trust accounting is a plus.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with payroll processing systems is a plus.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and the ability to maintain confidentiality.
