Finance Assistant Position
Summary
The Mustard Seed Project of the Key Peninsula (hereafter referred to as TMSP) is a non-profit, community-based organization dedicated to helping Key Peninsula (KP) seniors age safely in place, in their homes and community, and to make the KP a great place to grow older. TMSP offers a wide variety of wellness and enrichment programs serving seniors and the broader community. As we continue to grow, TMSP is looking to fill the integral position of Finance Assistant.
Description
The Finance Assistant position is responsible for providing office support, clerical, and daily bookkeeping tasks to ensure that the Mustard Seed Project adheres to best practices and requirements for non-profit operations, compliance, and reporting. Confidentiality, efficient time management, excellent organizational skills, and attention to accuracy are essential qualifications for this position. Effective and clear written and verbal communication skills are also essential. This position reports to the Finance Controller.
Core Responsibilities
Include, but are not limited to:
· Responsible for maintaining the general ledger in QuickBooks in accordance with TMSP’s accounting policies and procedures, GAAP guidelines, and Federal single audit standards.
· Prepare accounting and report data to ensure timely and appropriate compliance with local, state, and federal government reporting requirements.
· Responsible for essential tasks relating to Accounts Payable and Accounts Receivable as directed.
· Help maintain good Vendor and Partner organization relationships.
· Complete accounting tasks and provide information in a timely manner for the production of financial statements.
· Assist in month-end close and annual audit processes.
· Maintain accurate and organized filing systems.
· Ensure that every transaction has the corresponding and complete audit trail archived.
· Provide clerical and administrative tasks as assigned, including research.
· Assisting with any other projects or activities outlined and requested as part of the regular activities of TMSP.
· Assisting in the planning, preparation, set-up, and execution of fundraising events or campaigns, and community events as needed.
· Assist in processing donor acknowledgment letters, year-end tax letters, and donation receipts as needed.
· Assist in grant and donor reporting as needed.
· Manage Gift Store inventory accounting and tracking.
· Maintain Outlook calendars for accounting and required reporting tasks.
Required Skills & Experience
· Knowledge of nonprofit bookkeeping and generally accepted accounting principles.
· Proficiency in QuickBooks and MS Office, including Excel.
· Excellent written and verbal communication skills.
· Ability to understand financial data, processes, and procedures.
· Ability to maintain client and agency confidentiality as appropriate and required.
· Efficient and timely in performing job responsibilities.
· A high degree of attention to detail, accuracy, and organization.
· Friendly and customer service-oriented attitude.
· A valid driver’s license with a good driving record.
· Belief in and commitment to TMSP’s Mission and Vision.
Preferred Skills & Qualifications
· Bachelor’s degree in accounting or business administration or equivalent business experience.
· At least two years of experience working as a Finance Assistant or staff accountant.
· Experience working in donor databases a plus.
Work Environment
· Generally, the work is conducted in a normal office environment where there are minimal hazards and infrequent environmental changes.
· The nature of the work may require frequent walking, sitting, or standing at a desk, as well as working out in the community under various circumstances.
· This position will occasionally require lifting, carrying, standing, and other light physical activity during set-up, preparation, and standing for different intervals during events and meetings.
· The position is hourly, based on 40 hours per work week.
Pay and Benefits
· Pay range to start: $23-27/hour, depending on experience.
· Sick and Vacation time are provided and will be pro-rated based on hours worked.
· Holidays will be paid on a pro-rated basis based on hours worked.
· SIMPLE 401K retirement plan with up to a 3% employer match.
· QSEHRA reimbursement plan to cover a portion of employee medical and dental premiums or expenses.
Job Type: Full-time, hourly, non-exempt.
Schedule: Monday through Friday, 830am-430pm
