Job Summary
Responsible for scanning and indexing all incoming documentation using a wide variety of applications over multiple operating systems.
Principal Duties and Responsibilities
Operate image scanning equipment using a wide variety of software applications that include but are not limited to OpenText and mainframe applications.
- Serves as departmental liaison for clients seeking assistance with the electronic imaging process.
- Prepares and maintains various records, logs and statistical reports reflecting operational
- Document preparation (pre & post scanning).
- Research termed, unknown, misdirected or missing material.
- Administer Customer Service support desk; process information requests which may be received
- Performs miscellaneous duties as required by management.
- Must maintain appropriate attendance.
Transaction Print and Inserting Responsibilities:
- Adhere to check production business requirements, ensure security and confidentiality
- Perform daily setup, programming, and operation of digital printer, inserting, and meter equipment
- Perform regular maintenance of digital printer, inserting, and meter equipment independently and coordinate vendor support
- Visually inspecting the transactional output to ensure that they meet job specifications and quality standards
- Reviews and audits finished work for accuracy and completeness with regards to business requirements and postal regulations
- Quickly research possible causes and remedies technical issues of digital printer to reduce downtime
- Work with vendor to troubleshoot and problem-solve hardware and software issues of intelligent barcode inserting
- Maintain production schedule and quality control procedures
- Conduct periodic tests with Albany facility for Disaster Recovery
- Monitor postage, supplies, and inventory
Mail Delivery, Shipping and Receiving Responsibilities:
- Sort all incoming and outgoing packages and mail
- Receive and deliver mail and packages to internal destinations on a scheduled basis
- Use of shipping software and tracking systems
- Prepare materials for pick-up by couriers or other transportation services
Administrative and Essential Duties Responsibilities:
- Demonstrates reliability through attendance and punctuality
- Participate and support continuous improvement objectives
- Keeps work area clean, organized, and free of hazards
- Interacts with other departments and employees on a routine basis
- Collaborates with vendors on specific projects and installations
- Solve technical issues of software and hardware equipment
- Process invoices and internal chargebacks timely
- Maintains accurate records for data collection and metrics reporting
- Perform other duties as assigned
Knowledge, Skills and Abilities
- Solid understanding of setup, adjustments, and operating characteristics of digital printing press, inserting, and postage meter machines
- Knowledge of mail sorting and delivery
- Knowledge of shipping and receiving functions
- Knowledge of postal regulations and presorting requirements
- Strong problem-solving, communication, and interpersonal skills
- Able to meet deadlines while effectively multi-tasking with moderate supervision
- Good organizational and prioritization skills
- Ability to work effectively in a team and independently
- Adapt to changing environments and job activities
- Able to work and interact professionally with people
- Knowledge of computers and Microsoft Office software
- Safely handle power and manual pallet jacks, hand trucks
