The Provost's Office - Office of Research Support (ORS) at The New School seeks Manager of Contracts and Grant Award Administration to help the Senior Director of Research Operations and Sponsored Programs expand capacity and services for research contracts and agreements as well as all non-financial post award services of sponsored program award management. This position is critical to ORS' ability to oversee administration and compliance of the university's research and sponsored programs portfolio from internal and external federal, state, local, international, and sponsors.

Under the supervision of the Senior Director of Research Operations and Sponsored Programs, this position will provide excellent service to the research community while meeting the regulatory and administrative requirements of federal agencies, foundations, and other sponsors.

RESPONSIBILITIES

  • Completes non-financial post-award administration of research grants and contracts, such as actions requiring institutional review and sponsor prior approval to include, but not limited to changes to personnel, budget, scope, terms, subrecipients; extensions, carryforward requests, PI transfers, amendments, submission of post-award non-financial reporting (e.g., technical, programmatic, property, IP / inventions, etc.), and other actions as required within accepted award terms or sponsor requirements.
  • Helps interprets Federal, state, university, and sponsor regulations, terms and conditions, policies, procedures, and guidelines, regarding sponsored grant, cooperative agreements, and contract acquisition and award oversight. Work with university Development Office for sponsor communications needed for award management for private grants where that office has the primary relationship;
  • Reviews terms and conditions of award documents from external sponsors for acceptance by the university and assist the Senior Director of Research Operations and Sponsored Programs with any negotiations of scope of work, budget, and terms and conditions prior to APR or VPR accepting awards on behalf of the university;
  • Conducts award set up in Workday and Cayuse in collaboration with ORS pre-award and post-award financial staff; Enters and ensures accuracy of proposal and award records and documentation in both Workday and Cayuse; Ensures accurate entry and monitoring of faculty effort levels and non-financial award obligations as sponsored award deliverables; Supervise student workers assisting with award set-up and management in Cayuse and Workday; Conduct award kick-off meetings with PIs for all sponsored awards and the Provost internal grant competitions;
  • In close collaboration with the Senior Director, Principal Investigators, Project Directors and their staff, General Counsel, and Finance & Business staff, prepares research contracts, subaward agreements, consultant / professional services agreements on sponsored awards. Manages subrecipient administration and monitoring. Ensures federal Office of Foreign Asset Control (OFAC) screening and subrecipient monitoring are documented for both office process and audit purposes. Maintains subaward record management and assists in subaward / subcontract closeouts.
  • Organizes and maintains subawards, including the periodic review of subaward progress and annual subaward monitoring activities.
  • Serves as an analyst for Exports Controls in Research and works in collaboration with the Senior Director of Research Operations and Sponsored Programs, the Vice Provost of Research Administration, and General Counsel;
  • Manages the effort reporting and federal procurement and property management compliance processes and ensures accurate documentation is in Workday for audit purposes;
  • Engages in continuous professional development to increase knowledge and skills in grants, contracts, research administration, including learning how to apply federal and state regulations, laws, and policies to grants and contracts in sponsored programs and non-sponsored agreements.
  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS

  • Bachelor's Degree in a relevant field.
  • 2 years administrative experience in higher education, nonprofit, or research institution in a relevant area.
  • Experience with an enterprise-level financial and / or contracting system (e.g., WorkDay, Jaggaer).
  • Demonstrated ability to work both independently and as a team player, manage time and multiple tasks, set priorities and manage deadlines in a professional manner.
  • Ability to effectively communicate complex issues (both verbally and in written communication) in a professional manner.
  • Experience with Microsoft Office (e.g., Word, Excel, PowerPoint, 365).
  • Demonstrated deductive reasoning and critical thinking skills.
  • PREFERRED QUALIFICATIONS

  • Work experience in research or grants administration in higher education.
  • Work experience in contracting in higher education.
  • Experience with Cayuse Research Suite or other web-based proposal and award systems.
  • Experience with interpreting and applying Federal regulations, policies, and systems related to sponsored research or programs and / or grants administration (e.g., Uniform Guidance, FAR).
  • WORK MODE

  • Hybrid - Employees hired for this position primarily work remotely with the occasional on-campus presence required with advanced notice. Employees in this role will also be expected to use their best judgment to be on campus when necessary in order to best fulfill the responsibilities of their job descriptions. #LI-HYBRID
  • SALARY RANGE

  • 66,000 - $70,000 per annum
