Position Overview
We are seeking a highly organized and proactive Executive Assistant & Fulfillment Coordinator to support our business operations. This role is essential in ensuring smooth day-to-day operations, including executive administrative support, order fulfillment, inventory management, and logistical coordination. The ideal candidate will be detail-oriented, reliable, and able to handle both administrative and hands-on operational tasks.
Key Responsibilities
Executive Assistant Duties
- Provide direct administrative support to the business owner, including scheduling, email management, and communication coordination.
- Assist with business operations, including organizing documents, managing expenses, and supporting project management tasks.
- Handle correspondence with vendors, partners, and clients, ensuring smooth business interactions.
- Conduct basic research and compile information as needed for business initiatives.
- Maintain confidentiality and professionalism in handling sensitive business matters.
Fulfillment & Operations Duties
- Accurately assemble, package, and prepare orders for shipment, ensuring high-quality presentation.
- Monitor and manage inventory levels for packaging materials, merchandise, and supplies.
- Maintain a clean, organized, and safe workspace, ensuring all materials are stored properly.
- Coordinate local shipments, including transporting packages to shipping facilities as needed.
- Utilize social media to post content supporting the brand according to provided guidelines.
Qualifications
- Experience: Previous experience as an executive assistant, fulfillment coordinator, or in a related field preferred.
- Organizational Skills: Strong attention to detail, ability to multitask, and excellent time management.
- Physical Requirements: Ability to lift and handle packages up to 50 lbs occasionally.
- Technology Proficiency: Comfortable using email, spreadsheets, and online business tools.
- Reliable Transportation: Valid driver’s license and access to a personal vehicle for local deliveries.
- Work Ethic: Self-motivated, proactive, and able to work independently with minimal supervision.
