Job Title: Administrative Assistant - Investor Relations

Location: Lancaster, PA Office Travel Required: Occasional
JOB SUMMARY: The employee hired for Administrative Support for Investor Relations participates in a strong support role, performing a variety of administrative functions and duties to further the success of the Investor Relations Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Scan and file physical and electronic copies of investor subscription documents.
- Assist in the creation of new promissory notes.
- Assist with the electronic update and maintenance of investor files.
- Oversee recovery of all repaid promissory notes from investors.
- Update investor subscription templates quarterly in DocuSign.
- Assist with quarterly promissory note maturities.
- Mail quarterly investor statements and checks.
- Mail quarterly financial reports to investors requesting physical copies.
- Assist in the update of investor marketing documents.
- Assist in planning and execution of investor events which may include an occasional evening or weekend day.
- All other duties as assigned by the Investor Relations Officer.
ADDITIONAL DUTIES
- Upload investor documents into investor portal as needed.
- Communicate with investors as needed for scheduling meetings.
- Assist the Accounting department as needed quarterly.
- Occasional management and scheduling of travel arrangements and itinerary.
- Assist in planning and execution of Fun Committee events.
REQUIRED SKILLS AND ABILITIES
- Is detail-oriented and can perform duties with a high degree of accuracy.
- Has a high degree of integrity and the ability to work with sensitive information.
- Ability to work with others in a positive, professional manner.
- Has time management skills to prioritize responsibilities and meet deadlines.
- Moderate reading, writing, grammar and mathematics skills.
- Moderate computer / typing skills and / or desire to learn and enroll in courses to learn.
REQUIRED EDUCATION AND EXPERIENCE
- High School diploma or equivalent required.
- Valid PA driver’s license required.
PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- The duties of this job take place in a typical office environment; the noise level in the work environment is usually quiet to moderate; there is the presence of office equipment noise.
- Occasional local and regional travel to investor homes and/or event locations.
