We are currently seeking a Volunteer Coordinator living in the Augusta / CSRA as key to our UMCOR & NGUMC Hurricane Helene recovery. This is a full time, grant funded position, for the duration of the project expected to be 1-2 years or more.

Position Summary : The volunteer coordinator is a crucial point of contact for all incoming volunteer teams. This person provides the first impression to volunteers and is also responsible for making sure volunteers are welcomed and appreciated. Excellent communication and organizational skills are important as this person must stay current on work that needs to be done in order to help recruit teams. The volunteer coordinator maintains the records on all volunteer service and works closely with the case manager(s) and construction manager(s) to schedule appropriately skilled volunteer teams for the projects. The volunteer coordinator works in partnership with the disaster recovery staff and under supervision of the disaster recovery director. Develop volunteer processes & establish local capability to receive and coordinate volunteer teams in partnership with Augusta / CSRA Long Term Recovery team.

Essential Job Requirements :

  • An appreciation of the nature and mission of the Church is essential;
  • safety screening as evidenced by a background check;
  • available to work a flexible schedule, including evening and weekend hours to meet client and volunteer availability;
  • able to maintain ethical conduct in accordance with organizational policy;
  • conduct business in a manner consistent with the mission, values and policies of the organization;
  • able to maintain high standards for protecting client information, sharing confidential information only as agreed upon by the client and as evidenced by a signed release form;
  • able to work calmly and effectively to resolve conflicts in sensitive situations;
  • able to work collaboratively with others;
  • computer literate, able to utilize word processing, database, and spreadsheet software and demonstrate ability to learn new and / or customized software;
  • possess excellent communication skills both written and verbal;
  • be organized and prepared for reports, meetings, briefings, and conversations with clients, staff, external partners and volunteers;
  • ability to supervise and motivate volunteers appropriately, including conflict resolution;
  • unquestioned confidentiality with sensitive financial and personal information;
  • possess no outside business interest that may conflict with the client or the organization’s goals and objectives;
  • demonstrate helpful inter-personal skills, such as :
  • genuine care and respect for individuals, families, and communities served;
  • awareness of the impact of the disaster on the community, the family and the individual;
  • effective listening and interviewing skills;
  • cultural competence relative to the population served;
  • sensitivity to the needs of individuals and families in crisis;
  • ability to maintain appropriate service boundaries;
  • self-awareness.
  • Active membership in the United Methodist Church is preferred but not required.

Essential Job Functions :

  • Communicate effectively with teams, the case manager and the construction manager during the recruitment and scheduling process.
  • Provide leadership for a host church welcome and orientation for all volunteer work teams when they first arrive.
  • Work with construction coordinator & local recovery team to make sure all materials are on site when the volunteers arrive and that they have a clear understanding of the work to be done.
  • Coordinate with local recovery for on-site management of the team’s work, in cooperation with the construction coordinator, to ensure quality results.
  • When teams are working, have designated local volunteer coordinator contact available to them, on-site, at the beginning and end of the work day, and other times as needed.
  • Arrange team accommodations and hospitality; whenever possible, engage and encourage local churches to provide hospitality (food, lodging, invitations to church events, etc.).
  • Maintain knowledge of overall recovery process for the specific disaster.
  • Work with recovery staff to create a “volunteer packet”, including, but not limited to, introduction to the organization, team preparation and debriefing, health or other site-specific disaster information, volunteer forms ( skill sheet, liability release, medical release, etc.), community information, maps, etc.
  • Work with recovery staff to keep the Long Term Recovery (LTR) and local community updated on volunteer needs and incoming teams.
  • Keep all volunteer records : number of teams, number of volunteers, number of hours worked and on which projects. This is done in cooperation with the construction manager and the grants and finance manager.
  • Work with the construction manager and case manager to schedule teams and stay current on construction and volunteer needs.
  • Work with recovery staff to provide opportunities to acknowledge and appreciate volunteers, including letters and notes of thanks. This can be done by staff, members of the LTR, local churches, etc.
  • Working Conditions :

  • Must have a valid driver’s license and reliable vehicle to be able to drive long distances in all areas within the services’ area.
  • Constant interaction with internal and external third parties for the purpose of collecting and distributing information.
  • Adaptability to environmental factors, including noises, odors, variable climate, etc.
  • Spends over 80% of time sitting; remainder of time includes walking, standing;
  • Occasional lifting (5 - 10 lbs) and climbing stairs
  • Must work cooperatively and collaboratively with colleagues, clients and other agencies involved in the recovery.
