Project Coordinator - Position Overview
Job Summary
The Nu-Age Group (NAG) is an accredited Managed Services Provider having offices located in Orlando, FL and Secaucus, NJ. The Nu-Age Group is expanding operations and is immediately hiring a full-time Project Coordinator with 2-3 years’ experience with project management, coordination of technical resources, managing multiple work streams, documentation of all processes, as well as maintaining document control and file organization.
The candidate will be working out of the Orlando FL office reporting to the Director of Engineering and SOC. If suitable, this candidate position can also be remote depending on the right qualifications. The Project Coordinator will work with the project management team to help facilitate the project teams for internal and external clients. They will be responsible for coordinating the deliverables by maintaining the schedule. The project coordinator collaborates closely with the IT architect, engineering, and SOC teams to ensure the seamless integration of intent and technical concerns, contributing to the successful execution of Nu-Age’s technical implementations. These implementations include compute, storage, and network infrastructure at client locations and the Nu-Age cloud environments.
Responsibilities & Duties
Internal and External Coordination
- Responsible for coordinating with internal and external teams to ensure that information passes smoothly from different disciplines and teams, ensuring that all teams are equipped with the information they need to complete their work schedule.
- Recording and discovering inefficiencies in team management and project work streams to bring to the project management team and aid in resolving issues.
- Developing workstreams that are efficient and effective for the entire project team.
Deliverable tracking and organization
- Accountable for driving execution and delivery of projects in all project phases.
- Responding to client communications including gathering information to respond to requests and questions.
- Demonstrate a strong understanding and take responsibility for scope of work, schedule, expected outcomes, business impact, resource level requirements, and development of work streams.
Documentation
- Recording and taking notes during client and external team meetings, submitting minutes and deliverables for approval, and distributing data to the appropriate parties.
- Capture and organize all important project assets on the server and distribute them to all key stakeholders to ensure clear and consistent communication.
Communication and Scheduling
- Responsible for cross-discipline communication of information and creating team meetings that are organized, efficient, and concise.
- Communication to team members that are not involved in the project about the status of the project to ensure that all team members are aware of their potential future involvement and maintain a collaborative culture.
- Adhering to client communication protocol and aiding team in adhering to all client mandated standards.
• Manage resources organizing, participating in project/task meetings, discussions.
• Experience in project management, from conception to delivery.
• Manage risk management as it pertains to projects.
• Experience in bookkeeping, reporting and budgeting.
• Participate in project meetings and propose improvements.
• Evaluate potential problems, technical issues and develop solutions.
• Plan and manage team goals, project schedules and new information.
• Supervise current projects and coordinate all team members to keep workflow on track.
• Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored.
• Direct project correspondence by preparing and reviewing project proposals, memos, meeting minutes and emails.
• Communicate with clients to identify and define project requirements, scope and objectives.
• Adhere to budget by monitoring expenses and implementing cost-saving measures.
• Ensure tickets are created, assigned, and updated appropriately with accurate time entries and resolution details.
• Work to define scope and milestones of projects, as well as provide updates for in-flight projects on a regular basis.
Position Qualifications
- Relevant field experience – leadership experience in the following industries-managed services provider (MSP), information technology fields.
- Ability to be an organized self-starter and take the initiative to offer solutions to any open or unnoticed problem in the project or work stream.
- Ability to work through conflict and guide team members with problem-solving.
- Excellent communication, leadership, and collaborative skills.
- Proficiency in ConnectWise Manage PSA platform.
- Proven ability to communicate in presentation, conversation, and written correspondence with project team, clients, vendors, and key stakeholders.
- Ability to learn on the job and complete tasks. Additionally, the ability to take the initiative to learn about the different processes used by different project teams as well as the intellectual property we work with is highly preferred.
- Exposure to outside vendors and organizational tools and methods
- Proficiency in Microsoft suite of products, especially Excel and Project.
- PMI or Scrum Alliance (or similar) certifications in Program Manager, Project Manager, or Scrum Master competencies are preferred.
- Must have or be able to quickly acquire knowledge of company structure (mission, goals, and objectives), policies, and procedures.
• Bachelor’s degree in computer science, Information Technology, or equivalent experience
• Time management skills with the ability to meet deadlines
• Ability to self-manage and multi-task while making on complex technologies
• Ability to consistently comply with established procedures, rules, and regulations

Compensation and Benefits
• Annual Salary $50,000-60,000 based on experience
