Position Title: Office Manager
Department: Administration
Reports To: Vice President & Director of Sales
The Office Manager is a member of the management team and is responsible for providing executive support, auxiliary operations management, human resources, and bookkeeping.
Duties and Responsibilities
· Accounts Payable
- Coordinating Bill Payments Through a Variety of Payment Channels (Check, ACH, Bill Pay, etc.)
- Calculating biweekly Payroll, Commission, and Performance Bonuses
- Expense Reports
- Coordinating and Recording International Wire Transfer Payments
· Accounts Receivable
- Recording Customer Payments
- Generating Open Balance Statements
- Generating Reports Detailing Available Credits
- Collections
- Coordinating with Collection Agency When Necessary
· General Bookkeeping
- End of Month Reporting to CPA
- Assisting CPA with Year-End Audit/Tax Returns
- Regular Analysis of PNL Statement
- Daily Analysis of Company Accounts
- Monthly and Annual Retail Trade Reports
- Reconciling Bank Accounts
- Reconciling Credit Card Charges
- Allocating Landing Costs and Duties
- Generating State-Specific Sales Reports for Tax purposes (where applicable)

- Recruiting and Hiring
- Training
- Creating/Maintaining SOPs and the Company Handbook

- Onboarding and Terminating Employees
- Health and Dental Insurance Coordination
- Management of Time Clock and employee time off requests
- Collecting and maintaining confidential employee records
