What are the responsibilities and job description for the Appointment Scheduler position at The Orthopaedic Center?
GENERAL SUMMARY OF DUTIES: Responsible for making and scheduling patient appointments in an efficient and timely manner. Route in-corning calls.
SUPERVISION RECEIVED: Reports to General Office Manager. ESSENTIAL FUNCTIONS:
1. Schedules, coordinates and reschedules patient's appointments.
2. Confirm next day appointments.
3. Verifies and updates necessary demographic information.
4. Maintains and updates current information on physician's schedules ensuring that patients are scheduled properly and appointments are confirmed.
5. Answers telephone, screens calls, takes messages, and provides information.
6. Oversees patient appointment movement, reports problems or irregularities.
7. Prepares and processes correspondence; answers routine medical inquiries and drafts letters.
8. Cross-train to assist as switchboard operator.
9. Performs other job duties as requested not necessarily related to job position; assists other departments as directed and attends meetings as required.
10. Follow HIPAA procedures and policies as directed by law and the policies of TOC; maintains the strictest confidetniality.
Job Requirements:
The job holder must demonstrate competencies applicable to the job position and attends all training meetings as designated, such as Customer Service Training, HIPAA Training, etc.
CUSTOMER SERVICE: Demonstrate ongoing Customer Service skills as set forth by company policy.
EDUCATION: High school graduation or GED.
EXPERIENCE: One year work experience, preferably in a medical office setting. Knowledge of medical terminology desirable; word processing and computer experience necessary.
REQUIREMENTS: None. Certified medical assistant preferred.
KNOWLEDGE:
1. Knowledge of business office procedures.
2. Knowledge of medical terminology.
3. Knowledge of grammar, spelling, and punctuation to type patient information.
SKILLS:
1. Skill in operating a computer and copy machine.
2. Skill in answering the telephone in a pleasant and helpful manner and using a multi-line telephone system.
ABILITIES:
1. Ability to speak clearly and concisely.
2. Ability to read, understand and follow oral and written instruction.
3. Ability to sort and file materials correctly by alphabetic or numeric systems.
4. Ability to establish and maintain effective working relationships with patients, employees, and the public.
Job Type: Full-time
Pay: $14.00 - $16.00 per hour
