Administrative Assistance
We are looking for a responsible and friendly Administrative Assistance to add to the administrative team of our community-based mental health agency.
Ultimately, you will foster a healthy workplace by ensuring our HR procedures run smoothly at all times. Administrative tasks are also expected with this position to ensure the efficient and smooth day-to-day operation of our office. These duties include maintaining appropriate filing systems, faxing, providing, and assisting in addressing daily office needs.

Responsibilities
- Plan quarterly and annual performance review sessions
- Update employee records with new hire information and/or changes in employment status
- Maintain organizational charts and detailed job descriptions along with salary records
- Forecast hiring needs and ensure recruitment process runs smoothly
- Process employees’ queries and respond in a timely manner
- Staying up-to-date and comply with changes in labor legislation
- Answer and direct phone calls
- Provide general support to visitors
- Organize and schedule appointments
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports and invoices
- Develop and maintain a filing system
- Do weekly inventory of office supplies
- Act as the point of contact for internal and external clients
- Liaise with supervisors and employees to handle requests and queries from senior managers
- Collect and prepare payroll data
Skills
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
Job Type: Part-time
Pay: $14.00 - $17.00 per hour
