What are the responsibilities and job description for the Events Coordinator position at The Panther Group?
The Panther Group has an immediate need for an Events Coordinator for a college in the Boston, MA area. This is a hybrid opportunity.
The Event Coordinator will report to the Event Manager. The coordinator will help facilitate and execute all aspects of college events and conferences. This will include but is not limited to :
Research focused events to support the college mission.
Strategic partnership events with industry partners.
Faculty conferences, workshops and symposiums.
College events for students at all levels, faculty and staff.
Commencement.
Regional campus event coordination.
Responsibilities :
Plans, implements, monitors, and evaluates success of all college events and conferences.
Designs and implements logistical support for all college events.
Ensures all information regarding each event is communicated to each stakeholder and that each event runs smoothly.
Tasks include scheduling events, booking space, ordering food, coordinating A / V, managing invitations and RSVPs.
Working with event hosts to determine crucial event needs while working concisely on budgets.
Complete follow through during the whole event process which includes initial planning prior to event and debrief upon completion of each event with necessary stakeholders.
Determine event staffing needs and manage a staff of temp. employees and students to carry out all events.
Create event posters, invites, meeting materials, and other event collateral materials as needed.
Work with the social media team to promote events.
Add all events to the website.
Create a budget spreadsheet for each event and track all expenses.
Other duties as assigned which can include : swag inventory, mailing and shipping items, organization of work spaces.
Requirements :
Bachelor’s degree preferred with a minimum of 2-3 years’ experience planning events, preferably in higher education.
Individual must have strong organization skills and experience using multiple software systems which include but not limited to : Microsoft Office and Outlook, InDesign, Photoshop, Excel, AccelEvents, etc.
Must have advanced Excel skills.
Must be able to multi-task, stay calm in a somewhat hectic environment and be team oriented.
They must be able to communicate professionally and effectively on behalf of the college.
The individual should be open to professional training and learning. Once this position has been properly trained, they should have the ability to coordinate and run events and meetings.
