Real Estate Assistant/Operations
Job Summary: We are seeking a dynamic and detail-oriented individual to join our team as a Real Estate Operations & Executive Assistant. This role is multifaceted, combining property management support, investor relations coordination, leasing and tenant relations, and executive assistant responsibilities. The ideal candidate will have a strong understanding of property management, financial reconciliation, and real estate transactions, along with excellent organizational skills and a proactive mindset.
Key Responsibilities:
Acquisitions & Dispositions:
- Assist in the drafting and submission of property offers and manage transaction timelines.
- Conduct initial analysis of investment opportunities, summarizing findings for decision-making.
- Coordinate with brokers, attorneys, title companies, and other stakeholders during acquisitions and dispositions.
- Research market trends, property values, and demographic data to support investment decisions.
- Help manage due diligence tasks, including organizing inspections, appraisals, and environmental reviews.
Operations & Special Projects:
- Assist in the onboarding of new properties into the portfolio, ensuring all operational tasks are addressed.
- Manage vendor relationships, ensuring services are performed as agreed.
- Coordinate maintenance schedules, inspections, and repairs.
- Support ongoing compliance with local, state, and federal regulations.
- Handle special projects as assigned, such as process improvements or event planning.
Investor Relations:
- Schedule and coordinate investor meetings, both virtual and in-person.
- Assist with preparing and distributing quarterly investor distributions and updates.
- Maintain accurate records of investor communications, relationships, and commitments.
- Track deadlines for investor agreements, funding deadlines, and compliance requirements.
- Help draft investor presentations, newsletters, and other marketing materials.
Executive Assistance:
- Provide direct support to the owners, managing schedules, priorities, and communications.
- Schedule and coordinate meetings, including travel arrangements and itineraries.
- Organize and maintain shared drives, ensuring documents and files are easily accessible and well-organized.
- Assist with email and calendar management, prioritizing and flagging important communications.
- Prepare reports, presentations, and summaries for meetings or investor updates.
Property Management Support:
- Reconcile accounts and assist in preparing annual budgets, including assumptions and detailed reconciliations.
- Process and track payments, ensuring timely and accurate bill management.
- Coordinate lease renewals and documentation, ensuring all signatures and records are up-to-date.
- Address tenant inquiries and coordinate with property management teams for issue resolution.
- Track property performance metrics, including occupancy rates, NOI, and lease expirations.
Leasing & Tenant Relations:
- Assist with leasing activities, including drafting and reviewing lease agreements.
- Reach out to tenants to build and maintain positive tenant relationships.
- Coordinate tenant communications, such as lease renewals, updates, and notices.
- Schedule and organize property tours and coordinate with leasing agents or brokers as needed.
- Ensure timely responses to tenant requests and inquiries to maintain high tenant satisfaction.
Qualifications:
- Strong organizational and time management skills with the ability to handle multiple tasks simultaneously.
- Experience in real estate, property management, or a related field is preferred but not required.
- Familiarity with property management software and financial reconciliation processes.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite and cloud-based storage systems (e.g., Google Drive, Dropbox).
- Proactive, self-motivated, and able to work both independently and as part of a team.
