Administrative Coordinator
Naples, FL – On-Site (Monday - Friday)
Key Responsibilities & Duties
• Team & Financial Management
Oversee recruitment, onboarding, training, and performance evaluations for support staff. Manage communication between staff and attorneys to promote team morale. Develop and monitor the office's budget, including financial reports, trust accounting, accounts payable, and billing processes. Ensure compliance with Bar regulations and manage trust and operating account reconciliations.
• Facility & Administrative Oversight
Manage office leases, facility maintenance, utilities, and office equipment. Oversee furniture, capital purchases, office relocations, and space optimization efforts. Supervise administrative staff and collaborate with the Connecticut team to manage additional support roles, such as Senior LAN Administrator and Records Assistant.
• Operational Support & Communication
Act as the main point of contact for staff, attorneys, clients, and vendors regarding day-to-day operations. Provide administrative assistance in areas such as public relations, community involvement, and professional development. Keep staff informed about special projects, firm activities, and future initiatives. Coordinate internal and external communication to align teams with firm goals.
• Ethics & Event Coordination
Work with staff to identify and address any unethical behavior, mitigating risks to the firm. Coordinate firm events such as professional receptions, client seminars, attorney retreats, and seasonal celebrations, ensuring that all events align with the firm's culture and objectives.
Qualifications
• High school diploma or GED required
• Degree in business administration or accounting preferred
• Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and iManage
• Strong knowledge of accounting and financial management
• Exceptional organizational skills with keen attention to detail
• Excellent verbal and written communication skills
• Ability to prioritize tasks, manage time effectively, and handle multiple responsibilities simultaneously

Salary : $90,000 - $110,000
