What are the responsibilities and job description for the Legal Secretary position at The Phoenix Group?
Our client, a prestigious law firm, is seeking a Legal Secretary to join their team in White Plains, NY!
Key Responsibilities:
- Prepare and format legal documents, gather supporting exhibits, proofread, and ensure appropriate redaction of materials.
- Familiarize with court rules and procedures to assist in filing court documents.
- E-file documents with the court system.
- Open new legal matters and maintain case files.
- Organize and manage documentation, ensuring proper indexing and storage on the network and in the file room.
- Retrieve court rulings and decisions using Westlaw.
- Draft cover letters for attorney billing submissions.
- Enter billing data into the firm's billing software system.
- Coordinate and schedule attorney conferences and depositions, while managing attorneys’ calendars.
- Handle vendor invoices, process check requests, and work with accounting to ensure timely payment.
Qualifications:
- At least 3 years of experience in litigation.
- Prior knowledge of litigation procedures, e-filing, and creating tables of authorities.
- Familiarity with the court procedures and rules of New York and New Jersey (both state and federal).
- Ability to collaborate effectively with other Legal Secretaries in supporting a team of attorneys.
- Willingness to take on new challenges and responsibilities.
- Strong organizational skills with the ability to thrive in a fast-paced environment.
- Proficient in Microsoft Office 2007 (Word, Outlook, Excel) and excellent typing abilities.
- Strong verbal and written communication skills.
- Notary Public certification required.
