About The Production Farm:
The Production Farm is a non-profit 501 (c) 3 Behavioral and Mental Health Agency serving Northeast Wisconsin communities (Manitowoc & Sheboygan counties). We provide outside the box programming to help youth play, connect and grow through arts programming, community engagement and much more. Services we provide include psychosocial skill development, mental health education, psychotherapy, and school-based interventions for groups.
About the Role:We are seeking a proactive and detail-oriented Office Administrator to support our team with a wide range of administrative, data management, IT, and operational tasks. The ideal candidate is organized, tech-savvy, and skilled at multitasking to ensure the smooth functioning of office workflows and systems.
Key Responsibilities:
Administrative Support
- Update service-related templates (e.g., ARP, TARP) to align with billing and provider requests.
- Manage scheduling, mileage tracking, and timekeeping processes in collaboration with supervisors.
- Maintain systems like HelpDesk for streamlined operations.
Data Management & Reporting
- Oversee and maintain templates such as TARPs, service notes, and PsychNotes.
- Track rescheduled and unrecoverable canceled sessions for accurate reporting.
- Develop and manage data templates to improve billing efficiency.
- Generate and distribute monthly reports on client service plans, canceled sessions, and unconsumed time.
IT & Systems Management
- Document processes for issuing/reissuing equipment to new providers.
- Manage user permissions and group access in Google Drive and related systems.
- Handle account offboarding, password resets, and troubleshoot IT issues as needed.
Onboarding & Offboarding
- Set up accounts for new providers and consumers in various systems.
- Manage templates, supervision logs, and folder security for new team members.
Operational Support
- Support reception with phone management and mailbox checks.
- Ensure office supplies are stocked and operational.
- Update scheduling systems and reports as requested.
Technical Troubleshooting
- Investigate and resolve network, calendar, and email issues.
- Monitor system performance and address recurring problems.
- Fix formatting errors in templates to ensure usability.
- Optimize billing templates with formula-based calculations and troubleshoot as needed.
Qualifications:
- Strong organizational and multitasking skills.
- Proficiency in Google Workspace tools and administrative systems.
- Experience in data management and reporting.
- Basic IT troubleshooting and system management knowledge.
- Excellent communication and collaboration skills.
