Office Assistant
A Brief Overview
Provides departmental support and performs various office activities. Prepares and maintains correspondence, reports and records. Serves as administrative support in specified areas.
What you will do
- Provides clerical assistance and coordinates office activities.
- Reviews and processes a variety of material; ensures that all required information has been obtained, verified and recorded.
- Prepares correspondence, reports and departmental records as required to support department.
- Requests records, charts and other information.
- Maintains and safeguards department charts, records, reports and files.
- Transports and distributes charts, records, documents or materials to other areas.
- Schedules and coordinates appointments as needed.
- Organizes and prioritizes assigned work to meet turn-around time requirements and work demands.
- Handles all telephone calls in a customer friendly manner.
- Answer calls promptly using the standard department greeting, (department area, name, title).
- Provide assistance and answer inquiries.
- Take complete and accurate messages and ensure the message is delivered to the appropriate person.
- Transfer calls to the appropriate area.
- Utilizes computer to enter and format data, generate statistics, computations, tables or charts.
- Works collaboratively with others to achieve departmental objectives and maintaining positive employee, interdepartmental and public relations with hospital / medical staff in a customer responsive and courteous manner, in compliance with iRESPECT standards and promoting patient / customer satisfaction.
- Assists with care and maintenance of department equipment and utilizes supplies in a cost effective manner.
- Maintains inventory and requisitions supplies as needed.
- Reports malfunction of equipment to supervisor.
- Operates basic office machines such as copiers, duplicators, shredders, computer terminals, etc.
- Shares responsibilities and provides coverage for relief and absences within department as required.
- Maintains confidentiality of information collected and reported in accordance with HIPAA / compliance policies and procedures.
- Completes required continuous training and education, including department specific requirements.
- Handles all special projects and performs other duties as required.
