What are the responsibilities and job description for the Accounting & Payroll Assistant position at The River Food Pantry?
We are looking for a customer-focused, collaborative, detail-oriented Accounting & Payroll Assistant to join our team to manage the organization’s donor database, process donations and acknowledgments, process payroll, and provide assistance with accounting, communications, and human resources functions.
This position (known internally as Development & Payroll Assistant) is full-time (40 hours) scheduled Monday through Friday with occasional evening and weekend hours.
The Accounting & Payroll Assistant responsibilities include:
- Maintain accurate and current donor information in the donor database, make bank deposits, and manage the donor acknowledgment process.
- Monitor donation portals for activity and assist donors with inquiries and follow-ups via in person, phone or email.
- Build donor reports and prepare for necessary meetings and committees.
- Provide accounting assistance including monitoring bank accounts, process deposits within QuickBooks, reconcile month-end reports, monitor and maintain accounts receivable within QuickBooks.
- Serve as the payroll point of contact for inquiries from staff and work directly with payroll provider to solve any issues ahead of running payroll.
- Run payroll reporting for manager approval and edit timesheets as needed to align with the bi-weekly payroll processing and submit payroll for processing within the payroll system.
- Monitor and manage payroll deductions, enter new employees into the payroll system, and process employee changes.
- Submit new employee enrollment to benefit carriers.
- Coordinate mailings of development communications.
- Assist with special events, meetings, and activities to ensure they are well planned and operate smoothly.
- Track and record third-party fundraisers and ensure details and photos are provided for communication on social media.
- Occasionally represent The River at events focused on community development and fundraising, as assigned.
- Write and maintain Development and Accounting team’s policies and procedures.
In the Accounting & Payroll Assistant role, you will need:
- Accounts Receivable experience is required, 3 years is preferred.
- Payroll experience is required, 2 years is preferred.
- Experience using QuickBooks Online is required, 3 years is preferred.
- 3 year’s data administration and data entry experience is preferred.
- Proficient understanding of managing a CRM database (Bloomerang preferred).
- Proficient with Microsoft Suite (including MS Office, Excel, Word and Teams).
- Valid driver’s license, clean driving record, and insured vehicle is required.
- Commitment and passion for The River’s mission, vision, and goals.
- Ability to work with a broad group of people.
- Knowledge of basic accounting and payroll practices is required.
- Flexibility to work some occasional evening hours as needed to meet the goals of the organization.
- Exceptional organization, precision, attention to detail, computer savviness, and adherence to deadlines.
- High degree of trustworthiness and integrity along with the ability to maintain confidentiality.
- Ability to manage multiple tasks, define and set priorities, and problem solve.
- Ability to work well under pressure and produce quality work within tight time constraints.
- Ability to operate office equipment, including computer, printers, and scanner.
- High proficiency to communicate (verbal and written form) information clearly and understandably through interactions with staff and donors.
- Ability to work independently and collaboratively as a member of a team.
- Ability to adapt to changing priorities and manage time effectively.
- Ability to think quickly and make good decisions when problems arise.
- Ability to accept responsibility for actions, decisions, and adherence to policies and procedures.
- Background and DMV check are required.
