Requirements

Reporting directly to the President, the Executive Assistant provides high-level administrative support to the President and Headmaster. As directed by the President, the Executive Assistant organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The Executive Assistant must be creative and have the ability to function well in a high-profile and at times stressful environment.

Duties/Responsibilities:

  • Manages sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the School.
  • Screens incoming telephone calls; takes and delivers accurate messages; responds to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Receives incoming communication or memos on behalf of senior staff, reviews content, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Organizes and maintains calendar/schedule for the President; resolving any scheduling issues.
  • Performs clerical and administrative tasks including drafting letters, memos, reports, agendas and other documents for the President in support of objectives for the School.
  • Arranges travel and accommodations for the President and Headmaster. Prepares expense reports.
  • Welcomes the President’s guests by greeting them, in person or on the phone; answering or directing inquiries.
  • Represents the School in a positive light through great follow-through skills and sound judgment.
  • Interacts with Board members on behalf of the President by preparing documents (such as the meeting minutes), and organizing meeting locations for the various Board meetings (both on- and off-campus).
  • Performs other related duties as assigned.

Required Skills/Abilities:

  • Commitment to the Catholic mission of Villanova Prep.
  • College degree preferred but not required.
  • Experience working in an executive assistant role.
  • Ability to communicate effectively and professionally.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated programs.
  • Ability to maintain a realistic balance among multiple priorities.
  • Demonstrated ability and temperament to work with sensitive information.
  • Team player – have team-oriented experience and approach.
  • Familiarity with Catholic teachings and Church structure.
  • Proficiency with Raiser’s Edge preferred.
  • Experience with special event planning, marketing and website maintenance preferred.

Compensation/Benefits:
Compensation range of $28-$32 an hour is based upon, but not limited to, several factors that include years of experience, education level, and expertise. Villanova offers a full benefits package that includes fully paid medical, dental, vision, and life insurance for employees; employer contribution toward dependent insurance premiums; long-term disability insurance; and a 403(b) retirement plan. Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.

Salary : $28 - $32
