Administrative Assistant - HR

Position Summary: The Administrative Assistant provides general office and project related support including assisting visitors, volunteers, and staff, answering telephones, and general administration duties.

Essential Responsibilities:

  • Provides timely communication, feedback and follow-up to staff, leadership, clients, visitors, and volunteers
  • Manages and distributes incoming calls, mail, email, and faxes
  • Prepares documents and letters to copy, distribute and file
  • Run reports from Payroll and HRIS system(s), produce documents for presentations and create HR forms
  • Maintains inventory of supplies, furnishings, equipment; ordering supplies as requested
  • Manage the Applicant Tracking System (ATS)
  • Maintain employment files
  • Manage and communicate new employee onboarding process
  • Coordinate orientation and training sessions for new employees
  • Ensure smooth communication with employees and timely resolution to their queries
  • Build relationships with local colleges for recruiting new employees
  • Perform other duties as assigned

Qualifications:

Education/Experience:

  • High School Diploma / GED; or equivalent combination of education and experience
  • Some college preferred
  • Two years of office or administrative experience

Skills, Knowledge & Abilities:

  • Maintain strict confidentiality
  • Excellent organizational skills

Computer Skills:

  • Proficient in Microsoft Office 365
  • Working knowledge of TEAMS and SharePoint
  • Willingness to learn new software/programs: ADP Knowledge a plus

Certificates and Licenses:

  • Must have and maintain a current valid driver’s license and pass the Salvation Army Motor Vehicle Record check (MVR)
  • Complete Safe From Harm training, and keep current as needed

  • Pension contributions (currently 6.00% of your earnings) begin the first quarter after 1 year of employment.
  • Vesting begins after five years of re-employment; full vesting occurs after ten years of employment
  • The Salvation Army also offers a 403(b) voluntary retirement savings plan in which you may participate immediately, with approved vendors. There is currently no organizational match for 403(b) contributions.

Paid Time Off

  • Sick days begin accruing the first of the month after one full calendar month after employment begins, and you may begin to use sick days after (90) days of employment.
  • Up to (4) earned sick days per year may be used as discretionary days.
  • Vacation begins accruing the first of the month after one full calendar month after employment begins, and you may begin to use vacation days after (90) days of employment.
  • The accrual rate is based upon years of service and approved hours worked.
  • You will receive up to 2 personal days and 2 floating holidays this year, pro-rated on month of hire, and will receive 2 personal and 2 floating holidays in following years. You may begin to use personal & floating holidays vacation days after (90) days of employment.
  • Paid holidays are effective immediately.
