The Office Manager supports the day-to-day operations of The Salvation Army of Kenosha. The duties of this administrative position include fiscal management, property upkeep, and coordinating administrative volunteers. This position works closely with the Corps Officers and other department leaders.
About the role:
- Serves as the point person for all accounting-related issues, facility maintenance, mailing, supplies, equipment, and errands.
- Organizes efficient office operations and procedures.
- Serves as the financial assistant to the Corps Officer and ensures the integrity of financial accounting and reporting.
- Handle all Corps income deposits, including tithes, donations, kettle income, and petty cash, coding by department.
- Maintain financial confidentiality of all donors, congregation members, and families.
- Maintain financial logs of scanned donations, invoices, and gift cards including verification that deposits and invoices are received and paid.
- Prepare and submit Gifts in Kind report to DHQ.
- Ensures that all services and purchases are correctly invoiced and submitted to DHQ for payment by centralized bookkeeping with proper coding by department.
- Works with the divisional property department to ensure the building is maintained to comply with city codes and regulations.
- Ensures all office and building equipment works and schedules necessary maintenance or repairs.
- Maintain and monitor information on all TSA Fleet vehicles, including routine maintenance, emissions reports, and DHQ-approved driver lists.
- Maintains insurance incident files and reports. Reports workplace injuries immediately and files appropriate incident reports for worker's compensation claims.
- Oversees other front desk staff and may delegate duties.
- Answers all telephone calls courteously and professionally. Transfers all calls to the appropriate person.
- Responds to walk-in requests and phone calls by providing proper and complete information regarding services offered at the corps.
- Processes all outgoing and incoming mail; routes incoming mail to proper recipients.
- Performs clerical duties such as photocopying, assembling materials, filing, stuffing envelopes, preparing thank-you letters, typing documents, and general clerical assistance.
- Assist other departments in the corps as requested by the Corps Officer or in cases of absence.
Education/Experience: A high school diploma or G.E.D. is required, as well as one to two years of experience in accounting or any equivalent combination of training and experience that provides the required knowledge, skills, and abilities.
Certifications: Valid Wisconsin driver's license with approval to drive from TSA's insurance carrier. CPR and First Aid Certification (or ability to obtain)
