About this opportunity: Under the direct supervision of the Divisional Development Director, the Divisional Development Associate performs a variety of administrative, clerical, and support functions for the Divisional Development Department including answering calls and responding to emails and messages, processing incoming/outgoing mail, maintaining departmental calendar, processing and tracking expense reports, collecting, capturing, and tracking Planned Giving leads, assisting with submission of gift packages, running revenue and donor reports, answering donor questions and resolving donor issues, fulfilling Donor Care requests, processing and recording gifts, and other job-related responsibilities and tasks.
Key responsibilities:
Answer calls and respond to voice messages that come through work phone, Divisional Development Department 1-800 number, and Microsoft Teams; respond to work emails, PMC DHQ Development Department emails, and Microsoft Teams messages; promptly, courteously, and professionally answer questions, address concerns, and provide general information regarding operations and services.
Prepare, type, transcribe, copy, scan, and file correspondence, forms, lists, logs, agendas, schedules, etc.; ensure the accuracy and completeness of same.
Collect, compile, and summarize data and information for applications, briefs, presentations, reports, proposals, projects, etc.; prepare graphs, charts, spreadsheets, slides, etc. for same.
Coordinate arrangements for development meetings, conferences, retreats, trainings, etc.; prepare invitations, registration forms, etc.; reserve and set up meeting rooms; order and set up food and drinks; coordinate parking; breakdown and clean food service areas and meeting rooms.
Process and track Expense Reports for Divisional Development Department staff; present Expense Reports and corresponding documentation to supervisor for review and approval.
Prepare and enter Divisional Development Department requests in TSAMM for Divisional Finance Board (DFB) approval; track requests and notify supervisor of DFB’s decision.
Sort and distribute Divisional Development Department mail in a timely manner; ensure that all incoming mail is forwarded to the appropriate person; prepare and send outgoing mail.
Maintain Advisory Organizations membership rosters; ensure Board Member constituency is noted on the records of all Advisory Organization members in InterChange.
Maintain Divisional Development Department calendar; ensure that calendar is up-to-date and accurate.
Maintain Divisional Development Department’s SharePoint page and all resources therein; ensure that SharePoint page and all resources are up-to-date and accurate.
Maintain Divisional Development Department Binder, Divisional Development Department Staff spreadsheet, Planned Giving and Resource Development Directors service regions, Corps Information sheets, PMC Command list, and other resources; ensure that all information is up-to-date and accurate.
Collect, capture, and trackPlanned Giving leads from Planned Giving surveys, Corps and Area Command and other sources; enter relevant information on PG Lead Sources spreadsheet; copy/scan, sort (by region), and distribute surveys to the appropriate Planned Giving Director and mail originals to the Service Center in Houston; when originals are returned, archive in storage; if gift check is included with survey, enter gift details on PG Lead Sources spreadsheet and process gift per the rules, policies, procedures, and minutes of The Salvation Army Southern Territory and Potomac Division.
Ensure that the Planned Giving Business Reply Mail postage fees are paid in a timely manner and the account is in good standing; monitor the frequency of Business Reply Mail received to ensure the account is functioning properly; notify supervisor immediately if there are any problems or delays; ensure that Business Reply Mail is picked up twice per week.
Maintain all Planned Giving gift forms and gift package documents lists; ensure that all gift forms and documents lists are up-to-date and accurate.
Assist Planned Giving Directors with submission of gift packages to THQ Planned Giving Department in a timely manner; document the lead source of each gift on PG Lead Sources spreadsheet.
Obtain death certificates of deceased annuitants; deliver to THQ Planned Giving Department in a timely manner.
Run iRemit reports weekly to identify donors interested in making planned gifts; distribute leads to the appropriate Planned Giving Director.
Promptly answer donor questions and resolve donor issues with patience, courtesy, and professionalism; alert supervisor and Divisional Donor Care Manager of any complex questions, significant issues, and/or recurring issues.
Fulfill Donor Care requests (change of address requests, deceased donor requests, Do not mail requests, etc.) and update constituent records in InterChange accordingly or route the request to the appropriate command if there is staff in place to handle it; record and track all such requests on Donor Care log.
What we are looking for in you:
High school diploma or G.E.D. required with additional secretarial courses preferred, and
Two years’ experience performing secretarial work in an office environment, or
Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
Physical Requirements and Working Conditions: Ability to meet attendance requirements. Ability to read, write, and communicate the English language. Ability to perform mathematical calculations. Ability to type and record information and data into a computer. Ability to operate various general office equipment including a telephone, computer, and adding machine. Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.) 5-10% of work time. Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking.
Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.
