What are the responsibilities and job description for the Secretary/Receptionist position at The Salvation Army Western PA Division?
We are seeking a Receptionist/Secretary to join our team at The Salvation Army's Dubois Corps. This role is essential in ensuring smooth office operations and providing exceptional customer service to our community members. Responsibilities
- To handle incoming phone calls and direct calls to the appropriate person.
- To direct inquiries to other appropriate agencies if needed.
- Answer general questions on programs offered by The Salvation Army.
- Set up client appointments.
- Maintain records of Gifts-In-Kinds
- Write acknowledgements to donors
- Must be comfortable working independently while Corps Officer is away.
- Uphold all policies and procedures of The Salvation Army.
Intake Secretary Responsibilities:
- Interview clients.
- Maintain and keep updated case files.
- Maintain filing system including permanent files & active files for clients.
- Maintain social service statistics in computer data base
- Distribute emergency food to clients as needed, packing and re-stocking of pantry.
- Maintain records for utility assistance, adhering to policies and procedures, for EFSP and Dollar Energy.
- Assist Officers with seasonal applications such as Camp Allegheny, Angel Tree, Sheetz for the Kids, and Project Bundle Up
- Inform supervisor of low inventory of food on regular bases.
Knowledge, Skills, and Abilities:
- Ability to follow general office procedures and have organizational skills.
- Ability to work patiently with difficult and challenging people.
- Ability to be a team player, self-motivated and poses great organizational skills.
- Must have a valid PA driver’s license and reliable transportation.
- All three PA Clearances required upon employment and thereafter upon renewal date: PA Child Abuse History Clearance, Request for Criminal Record, and Fingerprint based federal criminal history.
- PA Mandated and Permissive Reporting and The Salvation Army’s KeepSAfe training required.
Educational and Experience:
- High School Diploma or equivalent.
- 1 or 2 years of relevant work experience.
