The Tuscarora Intermediate Unit 11 invites applicants for Executive Secretary for Professional Development Services/Receptionist at our main office in McVeytown, PA. To apply for this position, please complete an application on our website at http://www.tiu11.org.
The Receptionist/Executive Secretary for Professional Development Services shall be responsible to the Director for Curriculum, Instruction, and Correctional Education Facilities, for supervision and evaluation.
Fundamental Duties/Essential Functions
1. Prepare annotations, print, and disseminate materials relating to Act 48 and Continuing Professional Education .
2. Submit PA Student Assistance training requests to the PNSAS, maintain all SAP records for TIU 11.
3. Coordinate for rooms reservations, meals and coping of materials for SAP trainings.
4. Make copies for all training materials for the Curriculum Department and Act 89 as requested.
5. Maintain account information relating to Act 48 and Continuing Professional Education courses, placing those course in to the PD tracking system.
6. Maintain a liaison with the TIU business office staff for the purpose of maintaining records for the billings of Act 48 activities and continuing Professional Education budgets. Use the COBRA database to create, mail and maintain continuation of benefits to retired, furloughed and resigned TIU employees statewide.
7. Report Act 48 hours to PDE and inform participants of their recorded hours.
8. Maintain a database of professional staff for Act 48 and Continuing Professional Education and credit courses. Submit new PDE credit courses to the state via PERMS for state approval. Submit TIU provider information to PDE for TIU 11 presenters to be approved to provide statewide approved PDE Credit courses.
9. Perform secretarial duties for the Emergency Certification/Guest Teacher Program to include training set up, processing paperwork for participants, submitting to PDE/TIMS for the participants’ emergency permit, sending paperwork to the perspective districts for substitute teachers, and maintaining a list annually with emergency permit recipients, maintaining this list for keeping their clearances current.
10. Perform clerical functions including typing, copying, and the receiving and processing of supplies, mail, phone calls, and messages related to Act 48 and Continuing Professional Education.
11. Process continuing education hours for paraprofessionals through the PA KEYS Continuing Education system.
12. Maintain a calendar of all Professional Development activities for the TIU.
13. Perform secretarial duties assisting the PaTTAN Autism Affairs program with overnight lodgings, conference registrations, professional development registrations, and payments for meals for meetings.
14. Answer all incoming phone calls and transfer all phone calls to the proper personnel.
15. Maintain TIU Directory and publish yearly.
16. Gather yearly information of District uCalendars, District Administration Personnel, including position, building location, email and telephone number.
17. Perform the necessary secretarial duties for the TIU 11 with regards to the KPN Supply and Paper bid each year, making sure to meet deadlines with regards to each. Type up purchase orders for such purchases and forward to the necessary
company for purchase.
18. Maintain the inventory of copy paper, envelopes, and other various office supplies for the main building and order when necessary.
19. Prepare purchase orders for general building supplies (copy paper, envelops, batteries, etc.) and receive and maintain inventory of those supplies.
20. Take all messages from the voice mail system each morning and give the messages to the proper personnel.
21. Act as TIU main Receptionist monitoring telephones and doors and directing customers/guests to the proper servicing entity.
22. Assist Executive Secretary to the Cabinet Level Director for Curriculum & Professional Development and for Principal of Nonpublic Schools as needed.
23. Perform other tasks as assigned by the Director for Curriculum, Instruction, and Correctional Education Facilities or the Coordinator of Professional Development Services.

1. Knowledge of word processing and graphics applications for the computer.

Qualification Standards
1. Education: High School/GED diploma required.
2. Experience: Prior experience with computer word-processing required, prior experience with web page publication preferred.

Pay: $15.00 - $18.00 per hour
