Job Summary
We are seeking a detail-oriented and organized Administrative Specialist to join our team. The Administrative Specialist supports the daily operations of The Schenectady Foundation, Inc. by managing administrative and financial tasks, coordinating schedules, and assisting with organizational duties. This role requires excellent communication skills and strong organizational abilities.
Duties
Accounts Payable:
- Review and verify accuracy of invoices and contracts, their compliance with company policies, and assignment to appropriate G/L accounts
- Maintain organized records of all received invoices and supporting documents
- Prepare payments, ensure timely disbursements to vendors, and maintain accurate records of all payments made
Cash Receipts:
- Manage cash, check, and electronic donations, ensuring proper handling and security.
- Record donation transactions in the donor database with a high level of accuracy
- Generate acknowledgement letters and tax receipts for donors
- Reconcile monthly donation reports
Database:
- Maintain accurate constituent database records
- Provide support to management as special projects/goals are identified
- Learn functions of Grant Management software and assist with areas of documentation
General Office Support:
- Distribute incoming mail, and respond to emails, phone calls and inquiries in a professional and timely manner
- Monitor office supplies and place orders as needed
- Assist with special projects as assigned by the Executive Director or Director of Administration
Skills
- Strong customer support skills with a focus on client satisfaction.
- Proficient in administrative tasks including filing, typing, and office management.
- Strong organizational skills with attention to detail in all tasks performed.
- Proficiency with Microsoft suite of applications
- Ability to work independently as well as collaboratively within a team environment.
- Associates degree or higher is preferred
