This is a full-time seasonal administrative position working with The Seabird and Mission Pacific Engineering team to help drive our successful operation for an approximate 5 month period.
The Engineering Administrative Assistant must assist in maintaining schedules, calendars & meetings as directed by Engineering Managers. Processing purchase orders, invoices and contracts is a critical element of this role (contract experience is not necessary, but skillsets in purchase orders and invoicing is preferred). Organizational skills, computer proficiency, and communication skills are a must. Ability to work with outside vendors and contractors by phone and e-mail will be a large part of the job.

Responsibilities:
- Provides administrative support for the Engineering department. This includes but is not limited to answering telephones, filing, typing, preparing reports, maintaining data bases etc.
- Issues work requests to Engineering staff.
- Coordinates work activities including contractor work.
- Places orders for product and services; maintains proper purchase order control systems.
- Keeps track of all department invoices and maintains a proper check book system.
- Tracks and maintains Service Dispatch system data. Keeps track of work orders.
- Coordinates, issues and modifies work schedules for engineering departments. Keeps track of attendance, vacations etc.
- Supports Managers with payroll functions. Issues required personnel action forms.
- Maintains proper stock of office supplies and keeps office clean and organized.
- Prepares all duties/accountabilities in a timely and efficient manner following established company policy.
- Reviewing vendor contracts and ensuring all 3rd party contracts are current.
- Interacts with Maintenance Engineers on daily basis to communicate projects assigned to them and clarify details.
Qualifications
- Hotel experience preferred.
- Good communication skills.
- Working knowledge of the Birchstreet (or similar platform) purchasing system.
- Ability to learn and work with the Dimensions Time Management system.
- Windows programs proficiency required. Computer skills required.
- Good communication and organizational skills are necessary.
- Ideal candidate will excel at building relationships with other departments in the hotel (Operations, Finance and F&B teams).
