About the Position

Reporting to the Associate Director of Venue Sales, the Assistant Manager, Operations and Venue Sales is responsible for establishing and maintaining standard operating procedures for events at The Shed. They will collaborate with The Shed's production and facilities teams to develop policies that protect the building, minimize impact on staff, and deliver the finest experience to clients. The position will also support the department's senior management by building relationships with external event industry contacts and clients, overseeing a portfolio of events, and providing key support for the venue sales program. The ideal candidate has a proven track record of implementing venue operations to optimize visibility and sales in a "hands on," fast-paced, and entrepreneurial work environment. Success requires a creative self-starter with in-depth experience in relationship management, stewardship and operations, and the ability to get things done proactively.

Key responsibilities include, but are not limited to:



Operations Lead

  • Manage Momentus calendar holds and bookings; lead weekly Momentus meetings
  • Implement and enforce facility rules, regulations, policies, and procedures, especially as they pertain to events
  • Manage the operations and execution of assigned events in compliance with expectations of clients, production, and Shed management
  • Oversee event staff (both internal and external teams), catering, and any additional vendors associated with the event
  • Work with internal and external stakeholders to manage and effectively communicate event production; including compiling and communicating all event requirements to the relevant departments at The Shed
  • Direct and delegate necessary responsibilities across Shed departments with an eye toward nurturing positive and cohesive relationships
  • Create operating schedules, including a detailed run-of-show and related staff assignments for all assigned events
  • Prepare and distribute detailed production notes ahead of each event and schedule operational meetings with Shed department heads as needed (including but not limited to operations, security, and VX services)
  • Develop drawings for space utilization in conjunction with The Shed's production team
  • Must be confident and comfortable with forming and maintaining strong client relationships
  • Anticipate production, logistical, and operational problems, and appropriate solutions
  • Ensure trucking schedules for events are organized and up to date with The Shed's operational teams
  • Receive and review all client and vendor COIs and associated production documents for events

Venue Sales Support

  • Field rental inquiries, maintain and update internal tracking logs, and coordinate site visits with potential clients, vendors, partners, and in-house departments as needed
  • Prepare proposals, contracts, and estimates for confirmed and potential clients as assigned
  • Support senior leadership in the the ongoing development of sales, partnership strategies, and additional revenue streams by selling venue space, identifying new and prospective clients, and securing repeat business
  • Provide high-level client support and help build relationships with external events teams, planners, clients, location scouts, and partners
  • Help identify and vet events and clients that balance revenue generation with our mission and brand

Qualifications and Qualities

  • Five years of experience or more in event operations and project management, preferably in a cultural setting
  • High levels of motivation, agency, and proactive thinking when completing assigned projects and tasks
  • Ability to problem-solve under pressure in a fast-paced environment
  • Ability to navigate multiple projects and competing priorities as part of a team
  • Large group production management experience preferred
  • Ability to work well individually and with large teams in high-pressure environments
  • Ability to read, listen, and communicate effectively, both verbally and in writing
  • Demonstrate dependability and reliability by being punctual, working assigned and varying shifts, and completing responsibilities in a timely manner are required
  • Must be extremely organized and detail-oriented, resourceful, a quick learner, and able to handle multiple projects simultaneously
  • Exceptional guest and client service capabilities
  • Must have ability to adapt to a flexible schedule, with the ability to work nights, weekends, and holidays when necessary
  • Previous experience working within a unionized employee environment preferred
  • Must have the ability to stand or sit in one location for a minimum of four hours at a time
  • Working knowledge of Microsoft Office (Word, Excel, PowerPoint, and Outlook) and G-Suite
  • Proficiency in C.A.D. software a plus
  • Knowledge of production equipment and technical drawings a plus

Compensation

The salary range for this position is $65,000-$70,000. Compensation is commensurate with experience.
