Overview
We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. In this role, you will be the first point of contact for our clients and visitors, providing exceptional customer support while managing various administrative tasks. Your ability to multitask and maintain a welcoming environment will be crucial in ensuring the smooth operation of our office.
Responsibilities
- Greet clients and visitors warmly, ensuring a positive first impression.
- Manage incoming phone calls with professionalism, demonstrating excellent phone etiquette.
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
- Assist with office management duties, including filing and organizing documents.
- Provide administrative support to team members as needed, including proofreading documents for accuracy.
- Utilize QuickBooks for basic financial tasks and record keeping.
- Coordinate appointments and meetings, ensuring all necessary materials are prepared in advance.
- Maintain the front desk area to ensure it is tidy and welcoming at all times.
Skills
- Strong organizational skills with an ability to prioritize tasks effectively.
- Proficiency in office management practices and procedures.
- Excellent customer support skills, with a focus on building positive relationships.
- Familiarity with QuickBooks is a plus but not required.
- Attention to detail, particularly in proofreading and data entry tasks.
- Ability to communicate clearly and professionally both verbally and in writing.
- Previous experience in a receptionist or administrative role is preferred but not mandatory.
