The State Group is seeking a Safety Manager to oversee our DOT Compliance and Fleet Management based in our Louisville, Kentucky division. This position reports to the VP, Safety and Risk and is responsible for DOT compliance programs including but not limited to CMV Files, DOT Driver Qualification Files, DOT Drug/Alcohol Programs, and Hours of Services, telemetries and ensures we are compliant with the Department of Transportation (DOT) and Federal Motor Carrier Safety Administration (FMSCA). The DOT Compliance & Fleet Manager works with safety, purchasing, and operations to provide vehicle records, driver records, and compliance updates.

WHAT YOU WILL DO
- Ensure compliance with all company and Department of Transportation (DOT) regulations, policies, and procedures.
- Maintain driver qualification processes per DOT/FMCSA standards to ensure compliance.
- Manage processes for Driver Background Checks, Pre-Employment Medical Screening & DOT Physicals, Previous Employer release of information, etc.
- Develop and manage processes for Driver Log audit and corrections, including electronic logs.
- Overall responsibility for electronic logs complying with all DOT regulations.
- Responsible for ensuring proactive communication and training of the drivers in understanding the impact of the company’s CSA score.
- Manages Samba safety driver system and training portal.
- Assist other departments within the company by providing technical input and insight into regulatory requirements.
- Conduct investigations on all commercial vehicle crashes for infractions of company policy, maintain records, report all accidents to insurance carriers, and maintain the DOT federal accident register.
- Assist IFTA reports quarterly and filling.
- On-boarding drivers, and completing all necessary documentation, be well-versed and actively participate in orientation.
- Work with the Risk Manager to manage insurance claims and repairs.
- Maintain and ensure driver compliance and confidential DOT employee files including drug testing, Dielectric testing, Motor Vehicle Reports (MVR), and required driver credentials and training records.
- Coordinate with vendors, including Altec and Enterprise for the purchase, lease, aftermarket packages, and disposal of vehicles as approved by management.
- Maintain individual vehicle title, insurance, performance and cost spreadsheets and records, and ensure pre and post-trip inspections are completed, reviewed, properly addressed, and retained per company policy.
- Maintain transponder distribution and tracking.
- Responsible for completing accident registers, quarterly governmental mileage reports, IFTA and MCS 150 forms.
- Identify and present continuous cost and process improvement options.
- Manage Geotab system.
WHAT YOU NEED TO JOIN OUR TEAM
- 5 years of direct DOT and driver compliance experience.
- Bachelor’s degree in Supply Chain or related field is preferred.
- Knowledge of FMCSA and DOT regulations, hours of service (HOS) rules, and exposure to electronic logs.
- Excellent organizational skills and proficiency in personal computer tasks are required, along with superior written and verbal communication skills.
- Knowledge of Federal and State traffic laws and requirements for tractor/trailer equipment.
- 3 years related experience in management capacity preferable.
- High level of proficiency in procedures, policies, methodology, and instruction.
- Ability to communicate in a courteous and professional manner.
- Ability to work independently and be detail oriented.
- Strong leadership and organizational skills, with the ability to direct and achieve priorities, goals, and strategies with limited supervision.
