We are currently looking for a full-time Associate Bursar. The Associate Bursar is responsible for monitoring active and inactive student accounts to ensure timely payment to the University and assures that University policies and procedures for accounts receivable are followed. This position reports to the University Bursar. The position also requires close coordination with Financial Planning and Academic Services. This position requires great attention to detail.
Hours for this position will be Monday-Friday 8 am-4:30 pm with some Saturdays
Responsibilities of the position include:
- Provides outstanding customer service, to include answering phones and assisting callers as well as assisting students that come to the office.
- Coordinates and/or assists in third party billing to include Voc-Rehab, WIA etc.
- Submits company pay revisions in Financial Aid to have packaging reviewed/updated.
- Tracks payments regarding certain student groups.
- Audits student accounts for processes including but not limited to graduation, registration, refunding, and other auditing as it relates to student accounts.
- Prepares and submits statements/invoices for payment from agencies.
- Extensively provides student-focused, solution-oriented communication and support to ensure all students are comfortable and sufficiently informed/prepared. This includes communicating and follow up effectively in a timely manner.
- Participates in student registration and orientation activities to promote student awareness of the Bursar department.
- Collects, receipts, deposits funds, and ensures corporate accounting receives this data in an accurate and timely manner.
- Actively pursues active accounts that have become delinquent in payment and notifies students of upcoming payments via email/phone/text.
- Monitors, invoice and collects on both active and inactive student accounts in assigned areas of responsibility, which may include CEF, WBIY, and BYOD accounts; Norton accounts; TA -Invoice branches of Navy, Air Force, and Marines via various vendor platforms; Chapter 31 invoicing via Tungsten.
- Serve as resource for Enrollment processors should billing or student account questions arise.
- Maintains petty cash fund and manages ATM refills when needed.
- Processes month end report and forwards to accounting in a timely manner
- Handles location-specific charges and invoices, such as parking permit charges, fines, and payments; and uniform and program-specific supply charges/invoices.
- ACH set-up and adjustments.
- Set up of monthly payment plans for inactive students.
- Maintain a thorough working knowledge of all functionalities of the student information system and all other related student administrative systems.
- Communicate financial information in a professional and courteous manner to help students and parents understand their financial obligation to Sullivan University both verbally and in writing.
- Identifies problems in the process, works toward resolution, composes, and implements new procedures when necessary.
- Serves as back up to the Veterans Affairs Senior Certifying Official (VA SCO) for Chapter 33, Go Army Ed, now Army IgnitED.
- Makes change for the bookstore, petty cash accounts, and others as needed.
- Serves on Campus Leadership/Directors’ Team committee.
- Assists with reports as needed.
- Assists in updating and creating all team training and policy manuals as needed.
- Assists and provides back up support for other members of the department as needed.
- Performs other duties as assigned.
Requirements of the position include:
- Bachelor’s degree in related field.
- Three years related work experience.
- An equivalent combination of education and work experience may be considered.
- Proficient computer skills with specific emphasis on Microsoft office programs, Campus Nexus, Image Now and Great Plains.
- Ability to coordinate multiple projects simultaneously and efficiently while meeting required deadlines.
- Ability to maintain concentration and attention to detail while working for extended periods of time.
- Responsible, driven, independent, open-minded, and flexible.
- Understands and accepts the need for discretion and confidentiality.
- Must be detailed oriented.
- Must possess excellent communication (oral and written), organizational and interpersonal skills.
- Must be able to sit for extended periods of time.
- Must be able to hear and speak well enough to communicate with students, faculty, and staff face to face and via the telephone.
- Ability to work a flexible schedule to include evenings and weekends; schedule for this position generally includes one Saturdays per quarter.
