What are the responsibilities and job description for the AP Specialist position at The Supply Room?
I. POSITION SUMMARY
This position is responsible for the company's bills management and other accounts payable processes.
II. POSITION EXPECTATIONS
- Creates and manages payment schedules to ensure timely and accurate payments on behalf of the company
- Receives all company credit card statements and receipts and manages timely payments
- Reviews and generates weekly, monthly, and quarterly reports for upcoming bills and payments
- Utilizes sound judgement to discern if a bill should be investigated before being paid
- Communicates regularly to keep manager abreast of AP concerns. Obtains manager approval for payment of bills over a designated limit
- Coordinates both internally and externally to accurately determine and reconcile AP accounts
- Monitors accounting emails and phones and responds to AP-related inquiries in a timely manner
- Processes AP adjustments with an understanding of GL accounting and attention to detail
- Maintains customer confidence and protects operations by keeping information confidential
- Maintains a safe and clean working environment by complying with policies, procedures, and regulations
- Other duties as assigned
III. SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
IV. MINIMUM QUALIFICATIONS & SKILLS
Education, Certifications and /or Licenses:
- High school diploma or equivalent required
- Associates degree in Accounting or related field preferred
Experience:
- 1 years experience in accounts payable preferred
Knowledge/Skills:
- Proficiency with PCs and basic computer software, including MS Office Suite
- Proficiency with basic business math skills
- Excellent presentation, listening, verbal, and written communication skills
- Ability to work independently or collaboratively within a team; willingness to roll up sleeves and help the team
- Ability to manage and organize time to meet objectives and deadlines

VI. WORKING CONDITIONS AND ENVIRONMENT
This position primarily works in an indoor office environment. The noise level in the work environment is usually low to moderate.

- Wage range: $22.00 - $25.00 per hour, paid on a biweekly basis
