JOB SUMMARY: Working knowledge and manual dexterity to perform entry level computer/data entry skills, type 40 words per minute, file records accurately, receive and send fax, copy documents, forward, page and answer the telephone. Ability to prioritize tasks, cope with interruptions and remain organized with numerous distractions, and perform repetitive tasks. Able to greet the public with sensitivity. Reads, writes, comprehends and speaks English. Maintains confidentiality.
Education:
- High School graduate
- Computer/data entry courses
- Course in medical terminology and typing
- Associates degree in business, office practice, secretarial or data entry preferred.
JOB DUTIES/RESPONSIBILITIES:
- Operate computer to input a variety of data from written information.
- Example: Census Report
- Admission information
- New Employee information
- Payroll Information
- Back-up/restore data files, both computer/noncomputer.
- Retrieve information from computer/revises data accurately and timely.
- Make suggestions for computer use/reports.
- Inventory supplies on the unit and store room.
- Assist with filing accurately, collating reports, and ancillary supplies as monitoring, filing, and processing.
- Fax information to/from as directed.
- Receive mail, sort, distribute and prepare outgoing mail.
- Answer telephone, relay messages and page person being called.
- Take instructions from department supervisor and/or office manager.
- Communicates effectively and in a positive manner with all staff, residents and the public.
- Follows dress code and has professional appearance.
- Maintains confidentiality of all facility business.
- Duplicates items requested.
- Problem solves equipment malfunctions.
- Attends mandated in-services/workshops to enhance skills and medical terminology.
- Copes with interruptions and able to refocus independently, prioritize and be flexible.
- Communicates with supervisor regarding errors, problems and changes.
- Other duties as assigned.
