Job Summary: The role of the Project Coordinator is to manage precast projects with a book ranging from $15 million to $20 million annually. In this role, the Project Coordinator will be responsible for overseeing the entire project lifecycle from the moment the job is released from the estimator until the final product is shipped while handling multiple tasks simultaneously with constant communication with various teams, vendors and customers.
Responsibilities:
· Collaborates with Sales, Estimating, Scheduling, Production, and Dispatching teams to effectively coordinate jobs.
· Assumes ownership of jobs once the job is on PO to usher it through production and shipping – including ensuring drawings are approved or that minimal revisions are made by CAD (estimator requests or prepares special drawings needed), reviewing and maintaining pricing in the PO and matching it to the PO, communicating with accounting during billing to ensure correct invoicing, working with customers on corrections or returns and following through to ensure that the correction or return is complete.
· Reviews Purchase Orders (PO), customer information, pricing, and job specifications to ensure all necessary paperwork and details are accurately entered into Titan before production begins. If the PO does not match or if information is missing, working with estimating and the customer to ensure the missing information is provided.
· Places job in correct order for production and shipping – including entry of lay schedules (being sure to maintain pricing and discounts), breaking down storm specials and creating SS BOMs, requesting the purchase of castings to ensure production can continue.
· Assesses and organizes job schedules to ensure timely production and delivery in collaboration with the Coordinator Team in view of their jobs.
· Coordinates and schedules deliveries in collaboration with the Dispatch team.
· Ensures shipments are picked and on the dispatch board within the dispatch timelines.
· Reviews shipments for shipping Best Way – if FOB, then full trucks are used, if a hot shot or less than full load will work, then the truck is ordered and the delivery fee is added to the job with notification to the customer.
· Maintains strong, positive relationships with customers throughout the project lifecycle.
· Ensures customer inquiries and concerns are addressed within 30 minutes.
· Actively works to resolve customer complaints, escalating issues to management when necessary.
· Performs other duties as assigned by the Project Coordinator Manager.
The role requires strong communication and attention to detail, coordination, and problem-solving skills to maintain customer satisfaction and keep production running smoothly. The Project Coordinator must be responsive, well organized, and proactive in managing tasks and addressing issues.
