About the Department

The Department of Race, Diaspora, and Indigeneity (RDI) is dedicated to investigating, interrupting, and challenging the historical and social processes, the cultural and political practices, and the formations of identity and community that are integral to these three concepts. Our project is committed to knowledge-making founded in the dynamism of social life and resistance to bondage, exploitation, and dispossession. The ambition of the department is to foster a breadth of vision, new aesthetic imaginaries, conceptual rigor, innovative pedagogical approaches, and deep engagement within and beyond the university that will enable communities to tackle some of the most challenging issues of the current historical moment in ways that defy intellectual, disciplinary, and geographic orders.

Job Summary

The job provides specialized business support for academic, research, clinical or administrative programs.

Provides administrative support for a broad range of academic affairs, faculty-led committees, department operations, communications, and events. Implements office procedures in accordance with Divisional and University policies to ensure effective and efficient departmental operations. Ensures effective and efficient departmental operations.
Responsibilities
  • Assist the Director of Faculty and Student Affairs in the general administration of the Department keeping them informed of pending projects and deadlines.
  • Provide administrative support for faculty-led committees and the development and documentation of departmental rules, policies, and procedures.
  • Coordinate scheduling of departmental meetings and retreats.
  • Create and maintain an organized file/record storage protocol to promote institutional knowledge and enable efficient access for faculty and staff.
  • Prepare agenda and materials for departmental faculty meetings, in consultation with the Chair.
  • Manage departmental operations including tasks such as room reservation requests, ordering of supplies, maintenance requests, etc.
  • Process faculty leave-of-absences.
  • Coordinate faculty office allocation and moves.
  • Provide A/V support for instructors using the RDI seminar.
  • Use University systems (e.g. ePayment, GEMS, eLedgers, Buysite) to initiate financial transactions (procurement, processing reimbursements, honoraria, and prizes/stipends, reconciling departmental GEMS receipts/reports).
  • Implement and manage event planning and day-of logistics for student-facing programming to promote the department’s curricular and co-curricular programs, including open-houses, student recruiting, new-student orientation, and study breaks.
  • Coordinate selection process for departmental student awards and process stipends.
  • Research and propose new student-facing events.
  • Prepare communications and events to increase awareness of Department’s academic programs.
  • Prepare departmental newsletters and announcements to share events, programming and news with relevant constituents.
  • Manage departmental listservs.
  • Maintain and update departmental website and social media accounts, posting to accounts and responding to messages.
  • Create and distribute flyers for departmental events and programs.
  • Maintain department’s calendar and shared accounts (e.g. Zoom, social media, Eventbrite, etc).
  • Manage logistics for academic events such as lectures, campus visits for job candidates, and conferences.
  • Coordinate all pre-event arrangements, including event schedules, publicity, event venues, travel and lodging for guests, catering, and supplies.
  • Provide day-of support, including set-up/clean-up, check-in, standard audio-visual needs.
  • Supports the delivery of services to program participants and/or beneficiaries.
  • May interact with faculty, researchers and staff for committee work or information.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).

Work Experience:
Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline.
