CORE JOB SUMMARY
The Senior Manager, Facilities & Operations administers leadership for various projects, programs, and assigned departments. More specifically, the incumbent oversees maintenance mechanics, contractors, and other service personnel to ensure the high-quality conditions of assigned facilities.
CORE JOB FUNCTIONS
- Coordinates work orders, preventative maintenance, and renovation projects for assigned areas.
- Provides estimates and budgets for project work, maintenance contracts, reimbursable work requests and facility events.
- Ensures proper training of staff and prepares performance reports.
- Orchestrates activities needed to prepare facilities in the event of a hurricane or other disaster and plays a major role in restoration projects.
- Serves as single point of contact for all projects in progress and projects completed in assigned area.
- Oversees that proper certifications are obtained for construction and repairs.
- Escalates disputes to appropriate managing staff and contacts appropriate parties with status updates and resolutions of issues.
- Makes sure that work orders are properly entered, serviced, and closed out.
- May oversee and ensure continuous compliance with regulations, procedures, and documentation.
- Inspects equipment regularly and detects and corrects any issues.
- Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with university policies and procedures.
- Ensures employees are trained on controls within the function and on university policy and procedures.

Department Specific Functions :
The Sr. Manager, Facilities & Operations will be responsible for carrying out tasks in accordance with all strategic initiatives and objectives to fulfill the mission and vision of the University of Miami and the Sylvester Comprehensive Cancer Center (Sylvester). Projects will be defined by the Sylvester Director, Facilities & Operations. The incumbent in this position will be responsible for providing technical and management support to Sylvester's Facilities & Operations Unit. The Senior Manager takes projects from original concept through final implementation-interfacing with all areas affected by the project including end users, stakeholders, and vendors, ensures adherence to quality standards, and will be responsible for assembling project teams, assigning individual responsibilities, identifying appropriate resources needed and developing schedules to ensure timely completion of projects.
Complete space planning test fit analysis for administrative and lab projectsGenerate equipment placement plans for new laboratory and lab relocation projectsDevelop schematic drawings for installation and reconfiguration of furniture in administrative areas noting telecom and electrical needsMaintain Sylvester space allocation drawingsUpdate Sylvester space database to align with current space assignmentsCoordinate lab equipment pre-installation requirements with equipment vendor and contractor (gases, vacuum, electrical, data, HVAC, ceiling height, etc.)Complete elevations for casework installation projects reflecting required infrastructureManages the programming, planning, design and construction for new construction, renovation, remodeling and maintenance projects in connection with Sylvester facilities including site, utilities, building systems and ancillary plant infrastructurePartner with multiple department and sub-divisions within Sylvester (finance, research, IT, grants, patient care etc.).Facilitate discussions and negotiations to drive recommendation consensus within scope of responsibility.Manage and coordinate agendas, meetings, and workflows for all project meetings and communications.Serves as liaison and is responsible for direction and implementation of assignments to design professional architects / engineer, general contractors and construction management firms.Conducts reviews of facilities plans as prepared by design consultants, and oversees and manages Facilities Minor & Major Capital Projects to assure compliance with applicable codes, University policies and procedures and Institutional standardsResponsible for budget management and record keeping; personnel management if applicable; contract management and enforcement; project schedule, construction compliance with applicable codes, required inspections and the legal requirements for the construction of educational facilitiesMonitors expenditures of the capital budget for each project, and reviews and recommends payment of invoices, adherence to construction contracts, attends pre-bid, pre-construction, project design and construction meetingsAssist with the development of Sylvester's Annual Capital Renovation BudgetPrepares status reports with initial estimates, directs and evaluates the performance of design consultants, contractors and construction managers through periodic inspections and directs daily supervisionEnsures completion of projects, from first request through close out, in accordance with established standards, schedules and budget parametersProvides quality assurance for assigned deliverables.Performs other duties as assignedMinimum Qualifications
