Position Summary
UNM Los Alamos is seeking a highly motivated, detail oriented, and proactive Executive Assistant to serve as administrative support for the Chancellor. UNM Los Alamos is a branch campus located in northern New Mexico which serves the surrounding areas through higher education initiatives. We are a campus dedicated to supporting our community and growing our student population.
This position will offer executive support to the Chancellor and other members of leadership who work to meet the needs of the students and advance the campus strategic goals. The ideal applicant should be organized and be able to prioritize through effective time management. They should support student success and understand the confidential nature of the work being done. This person should also have outstanding communication skills to work closely with internal departments and external stakeholders.
Duties and Responsibilities
o Serves as the primary point of initial contact on any matter directed to the Chancellor’s office by university and community constituencies.
o Oversees and coordinates the day-to-day activities of the office administrative support staff, to include management and training, scheduling and prioritizing work assignments.
o Gathers, investigates, researches, analyzes, and / or studies information affecting University-wide, intradepartmental, or interdepartmental operations.
o Reviews and approves transactions, as assigned, and advises the office principal on appropriate disposition; provides key coordination and consultation with regards to faculty / staff recruitment and hiring, as appropriate to the position.
o Provides assistance in the understanding and interpretation of university policies and procedures, as appropriate, and ensures that office operations are following policy provisions and standards.
o Participates in various committees and professional organizations.
o Oversees the planning, scheduling, and coordination of key special events for the office of the Chancellor.
Conditions of Employment Minimum Qualifications
High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas : fiscal services, administration and / or human resources AND 3 years of additional experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications
- Demonstrated experience providing support for executive leadership
- Advanced scheduling experience
- Experience planning large-scale events
- Knowledge of staff hiring procedures
- Advanced verbal and written communication skills and the ability to work with a wide range of constituencies in a diverse community
- Advanced level experience with Microsoft Office Suite, specifically, MS Outlook, Word, Excel and PowerPoint
- Records maintenance skills
- Conflict resolution and / or mediation skills
- Project management skills and the ability to resolve complex problems and issues
