Job Description Summary
The Division of Epidemiology and the Department of Biostatistics, Epidemiology, and Informatics is seeking an Administrative Coordinator. This role is essential in providing professional administrative coordination and support for the Center for Clinical Epidemiology and Biostatistics (CCEB). The role requires tact, diplomacy, and discretion in handling a wide variety of complex and sensitive issues. This position demands professionalism, accountability, and adaptability in a rapidly changing, fast-paced environment.
Through the effective execution of diverse and multi-faceted administrative duties, this position supports three key areas of work : 1) Administration, 2) Research Activities, and 3) Communications.
Job Description
PRINCIPAL POSITION RESPONSIBILITIES / DUTIES :
Below are the major tasks and responsibilities, with essential functions denoted by an asterisk (
1. Administrative Support (60%)
- Provide administrative support for several CCEB faculty members.
- Manage faculty schedules and calendars, coordinate meetings, and arrange travel and conference logistics.
- Update and maintain CVs, Faculty Expertise Database (FEDS), and biosketches.
- Provide course support, including managing online course sites and assisting with formatting manuscript drafts for journal submission.
- Plan and take detailed minutes during teleconferences and face-to-face meetings.
- Provide administrative support during faculty meetings and seminars, including setup, note-taking, and logistical coordination.
2. Research Support (20%)
3. Communications and Website Management (20%)
Key attributes and strengths needed to succeed in this position :
Qualifications
H.S. Diploma or GED required, with 5-7 years of performing administrative duties or equivalent combination of education and experience. Bachelor's degree preferred. Strong knowledge of social media and website management is strongly desired. The ideal candidate will have strong qualifications in written and verbal communication skills, administrative management, the ability to work independently and with others, the ability to work with multiple partners at all levels. Candidate must be proficient in the full suite of Microsoft Office, including Excel and PowerPoint.
