Job Summary
Provides necessary support to the Office of the Registrar team, including, but not limited to, degree audit building and maintenance, graduation tracking, and responsible and complex secretarial and clerical skills. Provides the use of initiative and judgment to relieve an administrator of many routine and administrative matters.
Major Responsibilities/Duties/Critical Tasks
- Work in coordination with Registrar and Graduation team on degree audit verifications.
- Assemble related material for use by supervisors and answer routine inquiries. Interview callers, make and cancel appointments, and answer questions. Provide service for all Registrar office positions.
- Process purchase requisitions, payment vouchers, travel requests and reimbursements, and payroll processing. Keep complex clerical records and prepare reports from a variety of material.
- Monitor expenditures and income against the budgets, maintain accurate accounting records and facilitate monthly reconciliation of accounts.
- Assist Academic Scheduling Coordinator with coordination between college admins and Registrar’s office in development of academic schedule.
- Perform other related duties as assigned.
Required Education/Experience
- Associate Degree Required, or combination of education and direct experience
Preferred Education/Experience
- Bachelor's degree in business or a field closely related to the specific endeavor of the department.
- Three (3) years of secretarial experience
- Peoplesoft experience.
- Experience in higher education preferred.
Accompanying Knowledge, Skills, Abilities, and Competencies
- Familiarity with PeopleSoft, degree audit, budgets, purchasing, reconciliations, and travel processing.
- Proficiency using computers and office software packages.
- Knowledge of planning and scheduling techniques, database applications, and Microsoft Office suite. High comfort level in learning software.
- Ability to track details precisely, interpret and apply university policies, and work well independently as well as part of a team.

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
