Practice Manager for The Steven A. Cohen Military Family Clinic at The Up Center
Supervisees: Admin Assistant and Front Desk
FLSA Status: Exempt
Position Overview:
The Practice Manager is a member of the clinic’s leadership team and reports to the Clinic Director. This role provides oversight of administrative and fiscal operations to support the achievement of the clinical and business goals and manage administrative needs of the office. This position supervises two administrative support staff.
A strong candidate is someone who enjoys working collaboratively with a team to create an environment with excellent customer service to clients. Additionally, the candidate is energized by implementing procedures that ensure best practices and operational compliance. The ideal candidate is a person who is highly organized and flexible, goal-directed, outcome-oriented, and enjoys a combination of developing strong processes and supporting development in people.
Specific areas of responsibility include:
Administrative:
  • Ensures administrative clinic activity occurs in compliance with The Cohen Veteran’s Network policies and procedures.
  • Works collaboratively with the Clinical Director in achieving service delivery goals, developing the annual budget, and implementing actions that support achievement of budget projections.
  • In collaboration with the leadership team, actively participates in analyzing challenges, identifying effective solutions and strategies, and implementing recommendations towards the achievement of clinic goals.
  • Other duties as assigned to include but not limited to: processing medical record requests, managing office supplies, providing front desk coverage, collaborating with building manager to address site or maintenance needs and interfacing with our technical support partners.
  • Manages the Clinic’s fiscal operations (i.e., accounts receivable and payable, reconciliations, financial reporting, etc.).
  • Operates as point of contact for local relationships with third party insurance companies and ensures that clinic operations follow contractual and reimbursement policies.
  • Works with the Clinic Director and CVN point of contact to coordinate the credentialing of each clinician (CAQH) for third party insurance billing.
  • Provides oversight or direct intervention to clients with billing-related matters, assisting clients and/or team members with resolving insurance-related concerns.

Qualifications:
  • Bachelor’s degree or demonstrated progress toward a bachelor’s from an accredited college or university with at least 5 years of relevant experience.
  • At least 5 years of experience collaborating with third-party payers, coding, billing, posting, and adjudicating claims.
  • At least 3 years of experience collecting, analyzing, and reporting financial data, with successful experiences in meeting targets and goals.
  • Demonstrated knowledge regarding appropriate and effective use of Protected Health Information, the Health Insurance Portability Patients Act, and Accountability Act of 1996, and the Health Information Technology for Economic and Clinical Health Act.
  • Excellent written and oral communication skills.
  • Must have a valid driver’s license and meet background check requirements.
  • Must have and maintain a working cell phone.
