We are currently seeking to fill the position of Executive Assistant (EA) to the Chief Executive Officer (CEO).  The professional individual filling this role will provide executive support in a one-on-one working relationship with the CEO. The EA can serve as a point of contact for internal and external constituencies on matters related to the CEO or as a liaison to the board of directors and senior leadership team.  The EA will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a balance among multiple priorities.  The individual will demonstrate proactive approaches to problem-solving and will serve as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.

Key Responsibilities and Activities 

50% Administrative

  • Completes a broad variety of administrative tasks on behalf of the CEO.
  • Manages an extremely active calendar of appointments for the CEO and from time to time across the Senior Leadership Team and organization in collaboration with V Foundation staff.
  • Completes CEO expense reports on a timely basis.  Manages certain organizational expenses on an as-needed basis.
  • Arranges complex and detailed travel plans and itineraries.
  • Plans and coordinates the CEO's schedule with a proactive mindset.  Collaborates across departments to ensure CEO preparation and support is effective and efficient.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. 

20% Communications

  • Provides a bridge for smooth communication between the CEO’s office and internal departments. 
  • Demonstrates leadership to maintain credibility, trust, and support with Senior Leadership Team and managers across the organization. 
  • Works effectively with the CEO to keep them well informed of upcoming commitments and responsibilities.  Addresses issues that may impact the balance of work and personal commitments.
  • Participates as an adjunct member of the Senior Leadership Team (SLT) 
  • Proactively and reactively schedules meetings, ensures meeting preparation material is developed and facilitated on an as-needed basis, and attends meetings as necessary.
  • Assists the CEO and Chief of Staff with meeting preparation, logistics, and communications on an as-needed basis.

20% Board and Top Donor/Partner Engagement 

  • Manages and supports communications with members of the V Foundation Board, DEGU Board, Scientific Advisory Committee, Emeritus Board, and event committees.
  • Schedules Board and Board committee meetings and produces the digital infrastructure to support Board meetings through the Board’s digital portal.  Produces committee minutes on an as-needed basis.
  • Debriefs the CEO’s board, donor, and partner engagement to ensure accuracy in the fundraising database (Salesforce NPSP) and revenue pipeline tracking systems.
  • Communicates with key external stakeholders on behalf of the CEO to support engagement, fundraising, travel, meetings, and the acquisition of critical information.

10% Office Management & Other Duties as Assigned

  • Collaborates with V Foundation teammates to support the Cary, NC facility’s upkeep, maintenance, and staff engagement.
  • Identifies ways in which office space can be most conducive to a positive work environment.
  • Other duties as assigned by the CEO with an ability to be responsive, when necessary, during not-open work hours (outside of 8 am – 5 pm ET).

Qualifications


Minimum Requirements

  • 5-7 years of work experience.  Bachelor’s degree preferred (but not required).
  • Minimum of 3 years of experience supporting C-Level Executives, preferably in a non-profit organization.
  • Ability to work independently with minimal supervision.
  • Accessible during not-open work hours when called upon.
  • Confidence to manage up to a CEO and across C-suite staff internally and externally.
  • Proficient in Microsoft Office (Word, Excel, and PowerPoint).
  • Ability to work independently, multi-task, and prioritize and manage tasks.   
  • Trustworthy with confidential information and capability to hand information with discretion.
  • Adaptable to various competing demands and positively handles pressure situations.
  • Demonstrate the highest level of donor/board service and responsiveness.
  • Familiarity with Zoom, Teams, and other videoconference software platforms.
  • Excellent communication and interpersonal skills.
  • A belief in the value of diversity, equity, and inclusion in the workplace and action demonstrating this commitment.
