What are the responsibilities and job description for the Closing Coordinator position at The Villages?
Within the spirit of “Making People’s Dreams Come True”, this position is responsible for facilitating a seamless home closing and relocation experience. This role supports The Villages Closing Department and Properties of The Villages Sales Representatives by coordinating and communicating closing details with all related partners including customers, Sales Representatives, Assistants, title companies, financial institutions, relocation partners, and movers. This position sets proper expectations from the time of contract signing through closing for buyers who utilize those services. The Closing Coordinator excels at preparing the best closing experience for our residents and is an integral part of the Closing Team. These duties are accomplished while delivering Raving Fans customer service to both internal and external customers.

Responsibilities:
- Facilitate a smooth and seamless home closing experience from contract to close, keeping the Sales Representative at the forefront of the customer relationship.
- Communicate and coordinate closing details with all involved (ex: Customers, Representatives, Assistants, Relocation, Citizens Bank, Peninsula Land & Title, Etc.).
- Solicit, share, and confirm important closing details with the customers (ex: closing date, contract names, agent assignment, etc.).
- Set proper closing experience expectations with the customers, answer questions, and share helpful information or connect them to proper destinations when applicable.
- Give presentations on the helpful services found within The Villages (ex: Citizens First Bank, The Villages Health, The Villages Insurance, Hometown Property Management, Etc.).
- Execute a follow-up plan that includes introductions, important milestone touchpoints and pre-closing preparation communication.
- Make a warm and endorsing hand off to Peninsula Land & Title and the Closing Agent on day of close.
- Assist leadership in ongoing training of new team members resulting in others shadowing and/or assisting you.
- Attend meetings and continuing education opportunities to maintain learning and growth in the position, updating and maintaining work-related materials and information.
- All other duties as assigned.
Education & Experience Requirements:
- High School diploma or GED; or one (1) year related experience and/or training.
- Experience in real estate, closing, banking, customer service or administrative fields preferred.
- Must be proficient in Microsoft Office Suite, particularly Outlook and Excel.
- This position requires strong communication skills, enthusiasm for The Villages and all it has to offer.
- A desire to serve in a support role that demonstrates hospitality, attention to detail with the ability to problem solve in a friendly, customer-centered way, to handle a variety of variables.
- Must have the ability to multi-task, set priorities and manage time effectively.
- Team player with the flexibility to adjust to changing work assignments and timelines.
