In addition, this role completes necessary administrative and organizational duties related to the closing process and takes part in the steps needed to create lasting impressions by helping provide the ultimate closing experience for all involved. These duties are accomplished while delivering Raving Fans customer service to both internal and external customers.

Responsibilities
- Prepare new resident information and gate access card sheets, order new home mailbox keys, and assemble related new owner orientation materials.
- Ensure Sales Department databases are accurate, and updates as needed.
- Verify that accounts exist for each buyer and establish new ones for those that need one.
- Prepare buyer welcome packets delivering them to Closing Hosts for each day’s closings.
- Collect, verify, and input all information sheets at day’s end.
- Send relevant information and paperwork to the district office daily.
- Prepare golf memberships for all new residents and update existing resident memberships for all purchases.
- Utilize home sales information from Properties of The Villages, Peninsula Land & Title, and external title companies.
- Obtain newcomer information on ‘For Sale by Owner’ homes, enabling issuance of resident IDs and gate access cards.
- Collect gate access cards and resident IDs, recording their return and sending to District for credit to sellers.
- Mail out new home house and mailbox keys when applicable.
- Process returns and receipt of mail keys for both new and pre-owned homes.
- Enter gate card information for previously owned and newly constructed homes.
- Attend special meetings, educational sessions and assist leadership with training team members when asked.
- Assist fellow Systems Specialists and the Closing Team in their overall initiatives as requested.
- All other duties as assigned.
- High school diploma and/or GED equivalent; and a minimum of one (1) year experience in a fast-paced, detail-oriented professional office environment where customer service, teamwork, and positive communication skills were keys to success.
- This position requires and utilizes office computers, office equipment (copier, fax, etc.) and a host of other software applications, including Microsoft Office Suite and subsequent data system processing tools and software. Prior experience working with AS400/I-series/Lasso or other CRM programs a plus.
- Must be proficient with data entry, highly organized, and can function well in a work environment where the workflow volume can change throughout the day.
