As the Administrative Assistant, you would be a key member of a dynamic, fast-paced team that is the enterprise Center of Excellence and Community of Practice for analytics with the objective to drive better business decisions through the application of decision science. This position supports the VP, Decision Science Products and two Directors, Decision Science Products.
Every day in this role is different! On any given day you might:
- Thoughtfully manage complex calendars - Review your leader’s schedule to build-in time for things like thinking and traveling to their next meeting
- Build relationships with the administrative staff of senior executives across the company
- Understand the day’s priorities so you can be strategic about how you direct communications to your leaders
- Schedule conference rooms, meetings, and video chats
- Handle extremely confidential, sensitive information, remembering that Disney is a publicly traded company
- Monitor the creation, storage, and distribution of files in shared cloud environments, including but not limited to OneDrive, SharePoint, DocuSign
- Act as “casual buyer” of all office supplies for the department, and manage purchase orders and vendor contracts
- Assist with on-boarding new employees – you’ll be the “friendly face” that newbies count on to answer all their questions, including many who are quite senior or brand new to the organization
- Partner with other support professionals in the bi-coastal team, helping to create a positive team culture
- A positive outlook with proactive, self-motivated, resourceful, and adaptable qualities
- A valued team player with an approachable demeanor, skilled in navigating diverse personalities and responsibilities without getting overwhelmed
- At least 5 years administrative or business support experience in an environment with an emphasis on scheduling meetings, travel management, and administration work for executive or upper-level managers
- Sharp written and verbal communication skills, including flawless grammar and a rich vocabulary
- Ability to multi-task and prioritize deadlines and deliverables
- Ability to anticipate needs, be proactive, resourceful and flexible
- Strong proficiency with all types of computers, phones and office equipment, as well as mastery of Microsoft Office programs, SAP, Concur, and working in a Windows environment
- Ability to build bridges, forge alliances and encourage people to want to partner with you
- Complete reliability handling confidential, often highly sensitive information
- Extremely well organized and detail oriented with the ability to maintain professionalism under pressure
- Enthusiastic attitude and sense of curiosity balanced with patience and strong work ethic
- Knowledge of TWDC polices and culture
- Desire to immerse yourself fully and learn all aspects of your executive’s business
- A calm head and steady hand to deal with the unexpected
