Administrative Assistant
Position Overview
The Administrative Assistant supports the Executive Director and staff by managing essential office and hospitality tasks. This role ensures that administrative duties are handled efficiently, allowing staff to focus on ministry.
Qualifications
- High school diploma required; some college experience or relevant administrative experience preferred.
- Strong organizational and interpersonal skills, with a detail-oriented mindset.
- Ability to handle multiple tasks with minimal supervision, and a desire to serve in a Christian ministry setting.

Primary Responsibilities
- Office Management and Hospitality (30%)
- Greet visitors, answer phones, and direct inquiries, setting the tone for a welcoming atmosphere.
- Open the building daily and prepare for programs and meetings. Close building on Friday
- Coordinate custodial needs for events.
- Assist in welcoming students and helping them connect with the appropriate staff.
- Coordinate attendance reports on a regular basis (weekly, monthly, annual)
- Financial and Documentation Support (30%)
- Prepare deposits, code bills, and manage financial records in collaboration with the Associate Director of Administration.
- Assist with maintaining mailing lists for students, alumni, and donors through familiarity with Breeze (Church Database).
- Support expense reporting and reimbursement processes for staff.
- Communications and Special Projects (20%)
- Assist in creating and distributing communications materials, including thank yous, newsletters, postcards, and event flyers.
- Help organize and participate in Board of Directors meetings, preparing documents and managing meeting logistics.
- Provide support for fundraising activities, including event setup and volunteer coordination.
- Facility and Miscellaneous Support (20%)
- Shop for office and ministry supplies, coordinate maintenance needs with contractors, and handle facility upkeep as required.
- Minimal oversight of student interns may be needed to assist with welcoming and hospitality initiatives.
- Make sure the building and grounds is clean, safe, and in compliance with fire and health codes.
- Supervise/manage in consuldation with the ED and AD Administration to make recommendation regarding outside contractors in the areas of : lawn maintenance, interior cleaning, HVAC contractor, any other contractor as needed.
Work Hours and Benefits
This is a part-time role, with morning hours (8:30 am- 12:30 pm) approximately 20-25 hours per week, with occasional evening or weekend hours for special events. Benefits include holiday closures for Christmas and spring break, one week of paid vacation.

Pay: $16.50 - $19.00 per hour
