Description

Position Title: EHR Support Analyst I  

Department: Clinical 

Reports to: Chief Clinical Officer 

FLSA Classification: Exempt 

Compensation: $90, 000.00 - $101,000.00/Annually  

 

Background: 

Fifty years ago, four Black American mothers, aided by 25 volunteer Black physicians, launched Baywell Health, formally known as West Oakland Health amid the Civil Rights and Black Power movements. It immediately became an anchor for the Black communities in West Oakland, East Oakland, and Berkeley for healthcare, health education, food and housing programs, and voter registration. The clinic became a spark that transformed healthcare advocacy in California and the nation. 

 

Baywell Health’s purpose is to be the trusted hub advancing the Bay Area Black community’s health and dignity. We work to do this by providing high-quality, comprehensive adult and family medicine, pediatric health care, dental care, optometry, podiatry, behavioral health services, and pharmacies at two locations while also being a space where medical care is our central but not the sole aim. We aim to be a place where community members also receive assistance on things that will make our community socially, economically, emotionally, and physically healthy. 

 

Job Summary: 

Under the general supervision of the Chief Clinical Officer, the EHR Support Analyst I, possesses an understanding of Epic and health center operations. The ESA I is responsible for supporting the ESA Level II with EHR system maintenance, overall success of the EHR support, and assists with the training, knowledge transfer, super users, and end users.  

 

Duties/Responsibilities: 

  • Participate in the interpretation & documentation of system changes, user requirements, quality assurance testing and user acceptance testing to ensure end user requirements are met with a focus of efficient clinic workflow. 

  • Assist in the development of role-based workflows, including design and development of instructional materials. 

  • Assist with ticket resolution. 

  • Assist in the development of the Super User team, conducting training as needed. 

  • Assist in new hire and ongoing training for all clinical staff and some non-clinical staff. 

  • Support providers and staff in EHR efficiency through training and customizations 

  • Work collaboratively with the ESA Level ll and Super Users on EHR training materials and classes 

  • Provide management technical system guidance to improve and streamline operational workflows. 

  • Conduct periodic observations of end users in their environment to identify areas for improvement and suggestions for workflow redesign. 

  • Maintain up-to-date expertise on the operation and application of the EHR system. 

  • Assist in documenting super user work and conducting assessments of the site's super user team. 

  • Perform daily system maintenance as instructed by Vendor. 

  • Review all system notifications and updates, and documents changes to workflows. 

  • Assist in the Implementation changes in the EHR as they relate to the workflows. 

  • Coordinate system changes with leadership for decision making. 

  • Must be able to travel between Baywell Health clinics to support EHR onsite training and trouble shooting. 

  • Participate in staff meetings, attend other meetings and training events as assigned.  

  • Performs other related duties as assigned. 

  • May be assigned cross departmental responsibilities. 

 

Required Skills/Abilities: 

  • Technical proficiency, including familiarity with MS Office (Excel/Word/PowerPoint) and web applications. 

  • Excellent editing, correspondence, and report creating skills. 

  • Excellent verbal and written communication skills.  

  • Excellent interpersonal and customer service skills. 

  • Excellent organizational skills and attention to detail. 

  • Excellent time management skills with a proven ability to meet deadlines. 

  • Ability to function well in a high-paced and at times stressful environment. 

  • Must possess a valid driver’s license. 

 

Education and Experience: 

  • Possession of a Bachelor's degree from an accredited college in a related field.  

  • Minimum two years EHR software experience, specifically Epic, in similar role, ideally with a health care facility and provider supporting in underserved communities. 

  • Three years of health IT experience desired.  

  • EPIC clinical and project management certifications preferred.  

  • Strong understanding of health center operations – Federally Qualified Health Centers (FQHCs) - medical, dental, and behavioral health – regulatory and compliance.  

  • Working knowledge of key indicators, standards, and processes related to EHR systems. 

 

Mental and Physical Requirements:  

  • The pace of Work: High stress, very rapid, and demanding

  • Standing and Walking Time Required: At least 20% of the time 

  • Sitting and typing: 60% - 70% 

  • Environmental and Health Hazards: Frequent exposure to communicable diseases and other conditions common to a clinic environment. 

  • The employee must frequently use hands and fingers to operate a computer keyboard, mouse, and telephone keyboard and talk or hear. 

  • The employee must occasionally bend, lift and move up to 25 pounds. 

  • Specific vision abilities required by this job include close vision, peripheral vision, and the ability to adjust focus. 

  • May be required to work in an environment with high noise levels and unpredictable temperature and ventilation.

Qualifications


QUALIFICATIONS:

  • Has a working knowledge of key indicators, standards, and processes related to EHR systems.
  • Possess workflow knowledge.
  • Strong understanding of health center operations – medical dental, and behavioral health.
  • Strong understanding of change management principles.
  • Experience with Federally Qualified Health Centers (FQHCs), including regulatory and compliance.
  • Experience with EHR software, specifically Epic, is preferred.
  • Outstanding verbal and written communication skills including editing, correspondence, and report creation
  • High degree of professionalism and strong interpersonal skills.
  • Ability to work professionally with all levels of leadership.
  • Excellent time-management and organizational skills, with the ability to coordinate multiple tasks, work autonomously, and establish clear timelines, and meet deadlines.
  • Excellent administrative skills including being detailed oriented.
  • Excellent leadership skills, including adjusting priorities, and establishing positive and professional relationships.
  • Technical proficiency, including familiarity with MS Office (Excel/Word/PowerPoint) and web applications.
  • Ability to work well independently and in a team environment, generating efficient solutions to issues as they arise.

EDUCATION AND EXPERIENCE:

  • Possession of an Associate Degree from an accredited college in a related field preferred.
  • Minimum two years Epic experience in similar role, ideally with a health care facility/provider supporting underserved communities.
  • Three years of Health IT experience desired.
  • EPIC clinical and project management certifications preferred.
