Reports to: Kansas Office Manager
Status: Full-time, Non-Exempt (40 hours per week)

General Description: We are seeking a detail-oriented Payroll Specialist to join our team. This role involves timely and accurate processing of payroll records by compiling, organizing, and entering data into payroll software systems. The ideal candidate will promote quality customer service to employees/Personal Care Service Workers (PCSWs) of the Kansas Home and Community Based Services (HCBS) program.
Essential Job Functions:
Payroll Processing:
- Perform payroll-related functions, including new hires, terminations, status changes, tax changes, wage changes, deductions, and direct deposits.
- Prepare backpays for the current pay period, calculate hours, and update payroll records.
- Upload data to Ascend for processing checks for consumers and Personal Care Service Workers (PCSWs) exiting evaluation.
- Audit Time & Attendance data for accuracy before adding to the spreadsheet.
- Run overlapping reports weekly.
Customer Service:
- Answer phone calls promptly and professionally, providing accurate information and assistance.
- Assist walk-in clients with their inquiries and needs.
- Complete employment verifications efficiently, ensuring accuracy and confidentiality.
Clerical:
- Generate and review Time & Attendance reports for day and night shifts every Monday.
- Run Over Plan of Care reports to identify and correct instances where consumers have received more services than their authorized Plan of Care allows.
- Monitor and manage Over Plan of Care situations using AuthentiCare.
Analytical:
- Review Over Plan of Care (OPC) report data for accuracy and identify discrepancies.
- Analyze OPC report data to identify patterns or recurring issues.
Compliance:
- Ensure services provided are within authorized limits.
Records Management:
- Establish and maintain employee records, ensuring accurate and timely updates to payroll logs and Over Plan of Care spreadsheets.
Required Skills:
- High School diploma or GED
Preferred Skills:
- Bi-lingual in Spanish or ASL
- Personal experience with a disability
Competencies:
- Detail-oriented
- Effective written and oral communication skills
- Problem analysis and problem-solving skills
- Ability to follow, apply, interpret, and explain instructions and guidelines
- Proficiency in Microsoft Office
- Broad knowledge of resources available for people with disabilities
