Work Setting:
- In person at the office 50% of the time, 50% remote. There is some flexibility with remote work.
Education/Qualifications:
- One year of relevant experience may be substituted for each year of required education.
- High level of professionalism in appearance, behavior, and communication.
- Capability to prioritize daily tasks and goals set or communicated by multiple parties.
- Must be an excellent face-to-face and telephone communicator.
- Must have competent written communication skills and email etiquette.
- Ability to proficiently navigate the internet.
- Employee must be able to function at a high level of efficiency without constant supervision.
- Ability to multitask and carry on attention to detail in a fast-paced environment.
- Must have strong computer skills and intermediate Microsoft Office and Google Suite.
- Ability to operate a variety of standard office machines.

Responsibilities:
- Filing insurance claims and assisting with insurance claims denials to resolve this issue.
- Managing Willow Collective phone during working hours.
- Creating new client charts for clinicians.
- Assisting with marketing and updating the website as needed.
- Filing and scanning client paperwork.
- When client charts are created/ongoing- verifying insurances and costs of sessions.
- Running errands when needed/ordering office supplies and materials.
- Managing emails through the main Willow Collective contact email.
- Assisting clinicians with “out of office” support when needed.
- Light housekeeping and restocking of supplies.
- Conduct outreach to coordinate care and services with other local providers as needed.
- Assist the Operations Director with onboarding tasks for new staff and ensuring employment forms are current.
- Completing and monitoring invoices as needed.
- Support payroll process as needed.
- Paying external contractors as needed.
- Assist with admin meeting notes during weekly meetings.
- Attend community meetings as requested.
