The ideal candidate must be highly organized. Must remain focused, prioritize tasks, and complete them promptly despite repeated interruptions (incoming phone calls). The day-to-day responsibilities of this position include the following:
- Perform administrative and clerical tasks, including supporting supervisors and peers
- Assist in daily office needs.
- Greet visitors and provide information by accurately answering questions and fulfilling requests.
- Reply to general information requests with accurate information.
- Compassionately interact with clients and potential clients with the potential to move into either intake/sales or legal assisting.
- Receive payments from clients and provide appropriate receipts.
- Support case preparations, as requested, by preparing client agreements and other related hiring documents, preparing client files, and drafting letters.
- Prepare and proofread pleadings.
- Sort incoming mail, courier deliveries, and packages and deliver them to the appropriate personnel.
- Answer multiple phone lines and take accurate messages.
- Manage client database and update client account records.
- Prepare client materials/resources.
- Accomplish organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to the organization.
- Other duties, as assigned.
The administrative assistant provides day-to-day administrative support to the Chief Operating Officer and general support to the firm as a whole. The position completes a wide range of clerical tasks to help support our clients in their time of need, helps support attorneys in case preparation, and helps the office run smoothly. The administrative assistant maintains client relationships by conducting pre-and post-sales client service, addressing concerns, and initiating regular communication with clients.
Required: Associates Degree or equivalent.
Skills needed:
Organization: Administrative assistants use organizational skills to manage client account data, schedule meetings, phone calls, and maintain several calendars.
Communication: Administrative assistants must interact effectively with all legal professionals, clients, and potential clients in person, over the phone, or by email to gather and share information, handle payments, and ask questions to resolve problems.
Interpersonal Skills: Must maintain clear, respectful communication with others. Administrative assistants use their interpersonal skills to solve problems, answer questions, and collaboratively develop solutions.
Technical Skills: Administrative assistants generate and print documents and communicate with clients and managers. Basic office skills and skills related to word processing, spreadsheets, and billing software are necessary to complete these tasks.

Pay: $29,799.00 - $42,000.00 per year
